Role Purpose:
To provide high-level administrative, organizational, and strategic support to multiple C-suite executives, managing complex schedules, communications, and confidential information to maximize the leaders focus.
Role Accountability:
- Calendar & Schedule Management: Coordinate extensive, frequently changing calendars across multiple time zones, resolving scheduling conflicts and prioritizing urgent meetings.
- Communications: Screen emails, phone calls, and visitors. Draft correspondence, memos, and presentations on behalf of the executive.
- Meeting Preparation: Prepare agendas, gather necessary briefing materials, and attend meetings to take minutes and track action items.
- Project & Event Management: Oversee special projects (e.g., market research, reporting) and coordinate internal or external corporate events, board meetings, and off-sites.
- Expense Management: Track corporate expenses, collect receipts, and submit detailed reimbursement and credit card reports.
Key Skills & Qualifications:
- 4+ years of experience in an administrative role reporting directly to C-suite executives.
- Discretion: Must possess uncompromising integrity to handle highly sensitive, confidential corporate and personal data.
- Organization & Time Management: Exceptional ability to multitask, prioritize urgent deadlines, and anticipate the needs of the executive before they arise.
- Communication: Flawless written and verbal communication skills.
- Technical Proficiency: Advanced knowledge of productivity suites like Microsoft 365 or Google Workspace, and familiarity with virtual meeting platforms (Zoom, Teams).
- Problem-Solving: A proactive, can-do attitude with the ability to troubleshoot last-minute emergencies independently.
- Good to have knowledge of Concur tool.
Qualification
Graduation / Post Graduation.
