Job Description

The Assistant Manager – Digital Reconciliation plays a key role in managing digital vendor payments, campaign reconciliation, and audit compliance for large global clients. This role ensures the accurate, timely, and compliant processing of digital media invoices, while supporting team execution, overseeing complex reconciliations, and serving as an escalation point for operational issues.

The Assistant Manager is expected to balance hands‑on execution with operational oversight, proactively identify risks, guide Senior Associates in issue resolution, and strengthen collaboration across Media, Finance, and external partners. This role requires strong attention to detail, sound judgment, and the ability to manage priorities in a fast‑paced, deadline‑driven environment.

Job Description:

Digital Operations & Reconciliation Management

  • Oversee and support the actualization and reconciliation of digital media campaigns, ensuring accurate delivery, billing, and financial alignment across platforms and vendors.
  • Manage end‑to‑end invoice processing workflows, including validation, approvals, discrepancy resolution, and clearance for payment.
  • Partner closely with Media, Financial Operations, Accounts Payable, media partners, publishers, platforms, and ad‑tech vendors to ensure seamless execution and timely invoice processing.
  • Ensure consistent compliance with audit guidelines, SOX controls, client requirements, and internal operational standards.
  • Own delivery against client‑mandated quarterly reconciliation timelines, proactively managing risks, dependencies, and escalations.
  • Lead resolution of complex billing, delivery, and reporting discrepancies, providing guidance to team members and ensuring appropriate documentation.
  • Enforce internal escalation frameworks, acting as a point of escalation before involving senior leadership.
  • Review and analyze media partner open payable and aging reports, identifying trends, risks, and corrective actions to prevent overdue balances or financial exposure.
  • Deliver concise, accurate, and actionable reporting on campaign status, financial health, and reconciliation progress to internal stakeholders.

Client & Internal Stakeholder Management

  • Serve as an operational point of contact for assigned accounts, supporting cross‑functional alignment and issue resolution.
  • Partner with internal finance and account teams to provide clear visibility into open items, outstanding invoices, and reconciliation status.
  • Support and guide teams in proof‑of‑performance validation and discrepancy resolution discussions.
  • Lead or co‑lead regular internal status meetings, driving agenda, follow‑ups, and accountability.
  • Communicate with all stakeholders in a professional, confident, and solutions‑oriented manner, demonstrating strong written and verbal business communication skills.

Team Support & Process Excellence

  • Provide day‑to‑day guidance and quality oversight for Senior Associates, ensuring adherence to processes and timelines.
  • Identify opportunities for process improvements, standardization, and efficiency gains within digital reconciliation operations.
  • Support audits by ensuring documentation accuracy, readiness, and timely responses to audit requests.
  • Contribute to onboarding, knowledge sharing, and best‑practice documentation across the team.
