Job Description
Programme and Scholarship Administration
- Manage the end-to-end administration and delivery of the scholarship lifecycle, ensuring efficient and timely execution of outreach, admissions, selection, and award processes.
- Coordinate and support scholarship selection activities, ensuring consistency, transparency, and alignment with programme requirements.
- Administer scholarship disbursement and related financial processes in accordance with University policies and procedures.
- Review and enhance administrative workflows and processes to improve operational efficiency and service delivery.
- Prepare reports, data analyses, and management updates to support programme monitoring, planning, and decision-making.
Scholar Performance and Experience
- Monitor scholars academic progress and programme participation against established requirements and milestones.
- Identify scholars requiring additional support and coordinate appropriate interventions in consultation with academic mentors, faculties, and relevant University offices.
- Manage scholar onboarding and orientation activities to facilitate successful integration into the programme and University community.
- Liaise with academic mentors and faculty representatives to support scholars academic development and alignment with programme objectives.
Engagement, Partnerships and Programme Impact
- Plan, coordinate, and execute programme activities, events, and engagement initiatives to enhance scholars learning and development experience.
- Support the development and maintenance of industry, alumni, and community partnerships to provide meaningful experiential learning and networking opportunities for scholars.
- Coordinate alumni engagement activities and initiatives that promote mentoring, networking, and continued involvement with the programme.
- Facilitate collaborations with internal and external partners to support programme objectives and student development outcomes.
Stakeholder Management and Communications
- Serve as a key point of contact for scholars, faculty members, industry partners, alumni, and other stakeholders on programme-related matters.
- Coordinate and facilitate effective communication with stakeholders to support programme operations and engagement activities.
- Develop and maintain programme communications and publicity materials, ensuring accuracy and alignment with University branding and communication guidelines.
- Respond to stakeholder enquiries and provide timely support on programme policies, processes, and activities.
Operational Governance and Resource Management
- Oversee programme administration and ensure compliance with University policies, procedures, and governance requirements.
- Monitor programme budgets and expenditure, ensuring prudent utilisation of resources and adherence to approved allocations.
- Work closely with Finance and relevant University offices on budget planning, financial tracking, and reporting requirements.
- Coordinate programme operations across multiple workstreams to ensure smooth implementation of activities and achievement of programme objectives.
- Support continuous improvement initiatives by reviewing operational practices and recommending enhancements to strengthen programme effectiveness.
Qualifications
- Bachelor's degree in Science, Technology, Engineering, Mathematics (STEM), or an equivalent discipline is preferred.
- Minimum 4 to 6 years of relevant experience in programme operations, delivery, or coordination, preferably within the academic, education, or public sector.
- Experience in supporting student programmes, scholarships, admissions, outreach initiatives, or events management will be advantageous.
- Demonstrated ability to engage and work effectively with diverse stakeholders, including students, faculty members, industry partners, alumni, and internal administrative units.
- Strong organisational and project coordination skills, with the ability to manage multiple priorities, meet deadlines, and deliver outcomes in a dynamic environment.
- Meticulous and detail-oriented, with a high level of accuracy in managing administrative processes, budgets, procurement, records, and reporting.
- Strong interpersonal and communication skills, with the ability to provide professional, responsive, and student-centric support.
- Resourceful, proactive, and capable of working both independently and collaboratively within a team environment.
- Proficient in Microsoft Office applications and comfortable working with digital platforms and administrative systems.
- Demonstrated commitment to continuous improvement, with the ability to review processes and recommend enhancements to improve operational effectiveness.
