Job Description:Facility Operations:
  • Overseeing housekeeping, pantry, cafeteria (), andfront office services.
  • Coordinating and managing internal events- board meetings, customer visits, town halls etc
  • Handling front office/reception.
  • Meet the health, safety and hygiene standards.
  • Take facility rounds to find out snags and initiate immediate rectification action.
  • Track stock of consumables (incl consumables and supplies for Client / GMC visits) and ensure optimal inventory levels). Co-ordinate for quotation from vendors and get PO created.
  • Monitor meeting room bookings and usage.
  • Horticulture and plantation maintenance.
  • Manage escalations regarding workplace support
  • Ensure 100 % operational uptime of Office Infrastructure (Housekeeping, Cafeteria)
    • Ensuring procurement & maintenance of stationary & office consumables
    • Responsible for maintenance and continual improvement of workplace including- physical infrastructure workplace support services.
  • Vendor and Contractor Management:

    • Coordinate with external vendors and contractors for maintenance, repairs, and projects.
    • Ensure quality service delivery as per SLA and within set budgets.
    • Oversee the work of contractors and vendors to ensure projects, events, repairs , etc,.are completed on time and within scope.
    • Support in ensuring timely car servicing, insurance renewals, co-ordination with car lease vendor partners for maintenance
    • Client/Stakeholder Management:
      • Support the FM as the primary point of contact for all facility-related inquiries from internal and external stakeholders.
      • Address facility-related complaints and resolve issues in a timely and professional manner.
      • Support to co-ordinate with clubs for payments and subscription renewals
      • Enabling LoA/ SPOA for the CS team members through the Legal team
      • Managing Events, customer meetings, Board meeting arrangements
      • Identify cost-saving opportunities and implement initiatives to optimize resource use.
        • Ensure compliances of vendor processes and other processes defined by Finance team
