JOB DUTIES/ RESPONSIBILITIES/ ACCOUNTABILITIES:

This position is responsible to handle the HR operations at Goa site which largely includes Contract labour management and compliances, third party management and compliances, Abbott Global/ HO initiatives, Talent management, HR connect sessions and overall support to HR.

Roles and Responsibilities:

1. Contract labour management & compliances:

a. Responsible to ensure service agreements with the supplier labour agencies, ccordination with HO legal team for agreement review, ccordination with Finance team for commercial reviews, renewal of the agreements and timely availability of manpower as per business requirements.

b. Ensure trainings, new joining formalities, pre joining medical checkups and compliance as per Abbott standards.

c. Ensure payments within 7 days from the end of payroll cycle

d. Ensure follow ups with the vendors for statutory compliances monthly, verification, submission of the same to Finance along with monthly invoice and maintenance of all the record in soft copy for all the vendors.

e. Ensure maintenance of monthly compliance tracker which includes manpower count vs, requirements, OT compliances, statutory compliances with respect to PF, ESIC, challan, ECR, Registration Certificate etc.

f. Ensure creation of all the credentials of contract employees in attendance management system on same day of joining & ensure updation of exists on a timely basis.

g. Ensure monthly/ as and when required meetings with the contractors and alignment of manpower catering to business requirements.

h. Ensure daily monitoring & reporting of contract labours & overtime details in a tracker.

2. Audits and Statutory compliances:

a. Responsible for statutory compliances pertaining to Contract labour, Apprentices, Talisman

b. Support in handling Government agency audits (Factories and boilers, Labour, PF, ESI, Medical officers etc.) and compliances

c. Handling internal site-specific audits of Quality, Abbott internal audits and provide the compliance on time related to HR.

d. Ensure availability during audits in Plants.

3. Non-FTE life cycle management:

a. Ensure co-ordination with the Talisman agency/ manpower service agency for timely renewal of agreement.

b. Ensure timely hirings, onboarding, site specific trainings, getting credentials created in system for agency employees, monthly payroll execution, exists and settlements and associated statutory compliances.

c. Ensure addition of employee details on first day of joining and deletion of employees on last day in the attendance management system for record purpose.

d. Ensure inputs are given to the HR support staff for credentials in Fieldglass and inputs on exits for timely deletion to ensure compliance.

4. Apprentice management and compliances:

a. Timely agreement with the vendor and onboarding the agency.

b. Interviews, onboarding process including ensuring compliances to site specific mandatory trainings

c. Provision of system related access and associated compliances

d. Payroll related compliances

e. LSSSDC (Govt. agency) co-ordination and compliances including exams

f. Statutory compliances

g. Coordination with NATS and NAPS government agency for compliances

h. Ensure WC policy for Apprentices

5. HR related QMS compliances:

a. ISO and Quality software compliances: Department coordinator to ensure the team completes the trainings on time and training assignments as per the business needs.

b. CAPA closure, exception, and investigations as per QMS requirements.

c. Attendance management system: SOP adherence and governance which includes updation of SOP, trainings as per the requirement.

d. Adherence to Recruitment SOP, governance and updation as and when required.

e. Responsible to handle the HR logbooks and compliances.

6. Site Specific Employee engagement initiatives:

a. Preparation of Employee Engagement calendar and execution of events (Cricket tournament, Ganesh Utsav Celebration, Diwali Celebration, Annual Picnic, Christmas Celebration, Joy of Giving, other engagement initiatives etc.)

b. Coordinate with Admin team for logistics arrangements etc.

7. Global / HO initiatives implementation ats site.

a. Employee Resource Groups, Wellness initiatives, Maternity support initiatives, WLA, Employee Connect network etc.

b. Global Development Week, Inclusion Week, Gratitude Day Celebration, EVP related initiatives and communication, co-ordination with HO for on time implementation in Plants, Ethics and Compliance week, International Women's Day and other Global initiatives, if any.

8. MIS and reports:

a. Responsible to provide timely attrition report to Finance monthly.

b. Responsible for preparation of MRM, BRM deck monthly by coordinating with concerned HR team members and submission to Plant head within TAT.

c. EPD Talent Dashboard data monthly.

d. Headcount reports to Finance, HO HR team

e. Absenteeism report to Finance monthly

f. Responsible to prepare any other reports as per the business requirements on a timely basis.

9. HR Helpdesk:

u00B7 Responsible to visit the shop floor atleast twice a week and as and when required and attend the queries of the employees with on time resolution as per the committed timelines. Provide the experience letters to the employees which are not part of HR helpdesk on eHR portal with consensus from BHR lead.

10. Talent Management:

u00B7 Support in preparation of TMR decks, scheduling no obligatory meetings in co-ordination with SLT's and talent

u00B7 Execution of behavioural training programs, effectiveness measurement if any as part of development initiatives for talent mapped in TMR.

11. Behavioural capability building initiatives

u00B7 Co facilitates behavioural Capability building initiatives if any as part of Organization strategy at site

12. HR connect/ YVC connect sessions:

u00B7 Conducting in person HR connect sessions with the departments on a quarterly basis and facilitating the closure of action points if any

u00B7 Support BHR lead in co facilitating YVC sessions with Department SLT's, monitor the action plan and execution as per the committed timelines.

13. Capex management for HR:

u00B7 Budgeting, Procurement, Finance related asset compliances and overall asset management.

14. PM internship scheme:

a. AIL SPOC supporting Commercial, Baddi and Goa Plant for PM internship scheme communication and compliance requirements if any

b. Coordination and timely correspondence with FICCI (nodal agency), system related training and imparting the training back to Commercial, Baddi team for compliance

c. Internship job posting, co-ordination with the departments for interview process, Offer roll out and hiring manager login credentials and compliances

d. Stipend and other related management

e. Timely communication on PMIS to Company Secretary, Corporate Sustainability team, GM AIL, Senior Director EPO, AIL Board.

f. Handling PM internship audits (FICCI, Government agencies) and associated compliances

15. Annual Budgeting exercise for HR budgets in close ccordination with BHR

16. SPOC for Internships

a. All communications and correspondence related to Internship offerings with colleges and concerned department

b. Premedical checkups for all interns

c. Ensure Entry exit training, POSH training, co-ordination with departments for Safety, GMP, GDP, DI training

d. Issuance of internship letters and administrative support during the tenure.

17. Competencies:

18. Qualification, Knowledge, and Experience:
