Job Summary
The Admin Assistant Manager will support the Operations team in managing day-to-day administrative functions, HR coordination, and office operations. This role is ideal for someone who thrives in a fast-paced, multilingual environment and enjoys keeping things organized behind the scenes.
Key Responsibilities
- Assist in daily administrative operations across office, showroom, and factory locations
- Support HR functions including onboarding, attendance tracking, and staff communications (English/Mandarin)
- Prepare and maintain internal documentation, SOPs, and company notices
- Coordinate with Finance, HR, and department leads on payroll-related administrative tasks
- Manage correspondence, filing systems, and office supplies/inventory
- Assist with work pass/permit administration and liaison with MOM where required
- Support recruitment coordination - scheduling interviews, preparing offer letters
- Help maintain a smooth-running, organized, and compliant office environment
- Assist in preparing meeting materials, minutes, and follow-ups
Requirements
- Diploma or equivalent in Business Administration, HR, or related field
- 4-5 years of relevant administrative/HR support experience, ideally in a multi-entity or SME environment
- Bilingual proficiency in English and Mandarin (spoken and written) preferred, given multilingual workforce
- Strong organizational skills with high attention to detail
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Familiarity with Singapore employment practices (CPF, MOM regulations) a plus
- Positive, professional attitude with strong interpersonal skills
- Ability to multitask and manage competing priorities across departments
