Job Description
Roles & Responsibilities – Admin Manager 1. Facility & Infrastructure Management
- Oversee complete administration of plant/office infrastructure.
- Ensure proper maintenance of buildings, utilities, workspaces, and common areas.
- Coordinate with vendors for AMC (Annual Maintenance Contracts) of facility equipment.
- Ensure compliance with statutory and safety norms.
- Supervise reception and front desk operations.
- Ensure professional handling of visitors, clients, and internal staff.
- Maintain visitor management system and access control protocols.
- Ensure proper communication flow across departments.
- Manage plant security operations including manpower deployment.
- Ensure strict access control, ID verification, and material movement control.
- Monitor CCTV surveillance systems and ensure 24/7 security coverage.
- Conduct periodic security audits and risk assessments.
- Manage employee transportation (buses, cabs, shift movement).
- Ensure route planning, safety, and timely availability of vehicles.
- Coordinate with transport vendors and monitor performance.
- Handle logistics for official travel and guest movement.
- Ensure high standards of cleanliness and hygiene across plant and office.
- Manage housekeeping staff and contracts.
- Implement 5S and workplace organization practices.
- Conduct regular audits for cleanliness and compliance.
- Oversee cafeteria operations, food quality, and hygiene.
- Ensure vendor compliance with FSSAI and safety standards.
- Support employee welfare initiatives (rest areas, drinking water, sanitation).
- Address employee grievances related to admin services.
- Identify, onboard, and manage admin-related vendors (security, housekeeping, transport).
- Negotiate contracts, control costs, and ensure SLA adherence.
- Track vendor performance and compliance.
- Ensure compliance with local laws, factory regulations, and labor laws.
- Maintain records for audits (internal & external).
- Liaise with government authorities when required.
- Manage office assets, furniture, and administrative inventory.
- Track asset movement, maintenance, and lifecycle.
- Ensure proper documentation and control systems.
- Prepare and manage admin budgets.

- Implement cost-saving initiatives without compromising quality.
- Organize company events, meetings, and visits.
- Manage conference rooms, logistics, and hospitality.

- Coordinate with EHS team for safety compliance.
