Role Summary

The Assistant Manager – Academic Services & Records Office supports the effective administration of student records, academic operations, and compliance processes for the campus.

Reporting to the Associate Director – Academic Services & Records, the role is responsible for ensuring the accuracy, integrity, and confidentiality of academic data, while supporting adherence to institutional policies and Indian regulatory frameworks.

Working closely with faculty, students, and cross-functional teams, the position plays a key role in delivering efficient academic administrative services and maintaining high standards of operational excellence.

Key Responsibilities

Academic Records & Student Administration

  • Maintain and manage student records, enrolment data, transcripts, and academic documentation.
  • Ensure accuracy, completeness, and confidentiality of all academic records.
  • Support student registration, course enrolment, and academic progression tracking.

Examinations & Certifications

  • Coordinate examination processes, including scheduling, documentation, and result processing.
  • Assist in preparation and issuance of transcripts, certificates, and graduation records.
  • Ensure adherence to academic policies, timelines, and audit requirements.

Academic Operations Support

  • Support academic scheduling, timetabling, and coordination with faculty and programme teams.
  • Assist in day-to-day functioning of the Academic Services & Records Office.
  • Work closely with internal stakeholders to ensure seamless academic delivery.

Compliance & Reporting

  • Ensure compliance with institutional policies and applicable regulatory frameworks (UGC, AICTE, etc.).
  • Maintain documentation and records required for audits, accreditation, and inspections.
  • Prepare and share periodic reports, dashboards, and data summaries with the Associate Director and relevant stakeholders.

Student Support & Query Resolution

  • Serve as a primary point of contact for student queries related to records, enrolment, and academic policies.
  • Ensure timely resolution of queries while maintaining professionalism and confidentiality.

Quality Assurance Support

  • Assist in maintaining data quality, process consistency, and documentation standards.
  • Support internal audits, quality reviews, and continuous improvement initiatives.

Qualifications & Skills

  • Master's degree in education, Administration, Management, or a related discipline from a recognised institution.
  • 5–8 years of relevant experience in academic administration, student records, examinations, or registrar's office functions within higher education.
  • Working knowledge of Indian higher education regulations (UGC, AICTE) and academic processes.
  • Strong attention to detail with a high degree of accuracy and data integrity.
  • Proficiency in academic ERP systems and MS Office tools.
  • Strong organisational, coordination, and time-management skills.
  • Effective communication and stakeholder management abilities.
