ROLE OVERVIEW
The Asset Operations Manager is accountable for the complete lifecycle management of Chai Point's brewing machines (Brewing Bots) within the warehouse network. Operating from Bengaluru and overseeing 6 pan-India warehouses, this role owns machine receipt, CAPEX condition assessment, refurbishment, quality control, spare parts management for in-warehouse repairs, and asset allocation tracking. The manager leads a distributed QC team and works cross-functionally with logistics, field operations, and supplier partners to ensure deployment-ready assets at all times.
Key Responsibilities:
1. CAPEX Assessment – Repair vs. Scrap Decision
- Evaluate all machines arriving at warehouses and determine disposition: repair, refurbish, or scrap.
- Conduct structured condition assessment (mechanical, electrical, cosmetic) upon machine receipt.
- Define and maintain decision criteria and thresholds for repair vs. scrap in alignment with finance and engineering teams.
- Document assessment outcomes and maintain a machine-level disposition register.
- Escalate borderline cases with data-backed recommendations to senior stakeholders.
2. CAPEX Tracking – Asset Allocation Register
- Maintain a real-time, machine-level asset register tracking which Brewing Bot is allocated to which customer/site.
- Record all machine movements: warehouse in, refurbishment, dispatch, and customer deployment.
- Reconcile the asset register with field operations data on a defined frequency.
- Flag unallocated, idle, or long-pending machines and escalate for action.
- Provide accurate asset utilisation and allocation reports to management on a regular cadence.
3. Machine Inventory Management
- Own end-to-end inventory of Brewing Bots across all 6 pan-India warehouses.
- Maintain accurate GRN records, stock levels, and machine-wise status (under assessment, under repair, ready for dispatch, scrapped).
- Conduct periodic physical audits and reconcile with system records.
- Plan machine availability to meet deployment demand in coordination with field teams.
- Implement and enforce inventory SOPs, tagging, and tracking systems across all warehouse locations.
4. Refurbishment Operations
- Manage the end-to-end refurbishment process – disassembly, part replacement, reassembly, and pre-dispatch QC.
- Ensure machines are restored to like-new standards before dispatch to field.
- Oversee module and part replacement as per defined component life cycles.
- Manage hardware modifications and retrofitting of new components or design updates.
- Track refurbishment TAT and drive continuous improvement to reduce cycle time.
5. Spares Management – Warehouse Repair Operations
- Own procurement, storage, and consumption tracking of spare parts required for warehouse-based machine repairs.
- Maintain minimum stock levels for critical repair spares to ensure zero repair delays.
- Work with the procurement team for timely replenishment of warehouse repair spares.
- Track spare consumption per machine model and repair type; feed insights to engineering for design improvements.
- Note: Responsibility is limited to warehouse repair spares. Field spares and pan-India spare distribution are managed separately.
6. Quality Control
- Implement and enforce QC protocols to ensure zero failure post-QC dispatch.
- Manage the QC team across pan-India warehouse locations.
- Conduct and review regular QC audits; drive corrective actions on recurring failures.
- Maintain QC documentation and track pass/fail metrics per machine, per warehouse.
7. Supplier & Factory Coordination
- Engage with machine suppliers and manufacturers on a weekly basis on QC and refurbishment process improvements.
- Share structured machine and design feedback to relevant managers for all platforms.
- Escalate spare part quality issues to suppliers with data-backed feedback.
8. Team Management
- Lead and manage warehouse staff and QC personnel across 6 pan-India locations.
- Assign tasks, review performance, and ensure compliance with safety regulations.
- Drive capability building, training, and professional development within the team.
9. Health, Safety & Compliance
- Enforce warehouse health and safety regulations across all locations.
- Conduct regular facility and equipment inspections to identify and mitigate hazards.
10. Reporting & Documentation
- Submit regular reports on machine inventory levels, refurbishment progress, CAPEX disposition, asset allocation status, and team performance.
- Maintain accurate records of machine movement, assessment outcomes, and refurbishment history.
- Forecast machine requirements and plan accordingly with operations and logistics teams.
