Job Description

Job Title: Airtable Data Admin Specialist

Location: Remote

Shift Timing: 5:00 PM to 2:00 AM IST

Experience: 3 to 6 years

Employment Type: Full-Time

Role Overview

We are hiring an Airtable Data Admin Specialist to manage operational data and support day-to-day Airtable and spreadsheet activities.

This is not a pure development role.

The role requires someone who is strong in:

· Airtable administration

· Google Sheets and Excel management

· Data cleanup and validation

· Handling messy operational data

· Supporting non-technical office users

· Maintaining accurate and structured business data

Key Responsibilities

Data Management

· Manage data across Airtable, Google Sheets, and Excel

· Clean messy, incomplete, or duplicate records

· Identify and correct data inconsistencies

· Backfill missing information where required

· Match and reconcile data across multiple tabs and systems

· Maintain accurate, consistent, and usable operational data

Airtable Support

· Provide daily Airtable support to internal teams

· Create and manage views, filters, fields, and forms

· Work with linked records and formulas

· Support imports and exports

· Manage permissions, access, and share links

· Troubleshoot missing, incorrect, or duplicate data

· Help teams organize Airtable workflows efficiently

Spreadsheet Management

· Create and maintain Excel and Google Sheets reports

· Use formulas, VLOOKUP, XLOOKUP, and INDEX-MATCH

· Build pivot tables, charts, and dashboards

· Apply data validation and conditional formatting

· Prepare clean and structured reports for business teams

User Support

· Support office and operations teams with data-related issues

· Understand problems raised by non-technical users

· Resolve day-to-day Airtable and spreadsheet queries

· Explain data issues in a simple and clear manner

· Escalate complex technical issues when needed

Process Improvement

· Document recurring issues and solutions

· Maintain basic SOPs for data processes

· Improve data entry formats and validation rules

· Recommend better ways to organize data and workflows

· Reduce manual errors in operational data handling

Required Skills

· 3 to 6 years of experience in Airtable, Google Sheets, and Excel

· Strong knowledge of Airtable views, filters, linked records, formulas, and permissions

· Advanced Excel and Google Sheets skills

· Experience with formulas, lookup functions, pivot tables, and charts

· Strong data cleanup and validation experience

· Ability to handle large and messy datasets

· Good understanding of data matching and reconciliation

· Strong attention to detail

· Good problem-solving skills

· Ability to work independently

· Good communication skills for supporting non-technical users

Good to Have

· Experience with Airtable automations

· Knowledge of Zapier, Make, or Power Automate

· Basic scripting knowledge

· Experience with Google Apps Script or JavaScript

· Exposure to operations, admin, or client data workflows

· Experience creating SOPs or user guides

· Basic understanding of database structures and unique IDs

Work Expectations

· Remote working role

· Shift timing: 5:00 PM to 2:00 AM IST

· US business-hour overlap required

· Must coordinate with distributed teams

· Must maintain confidentiality of business and client data

· Should be comfortable using chat, email, and task management tools
