Position : Manager Administration
REPORTING STRUCTURE
Reports To: Managing Director
Team: Admin Executive, Security & Housekeeping Supervisors
KEY RESPONSIBILITIES
1. Security & Loss Prevention
- Incident Management: Thoroughly implement KPPL Physical Security Procedures to achieve zero security incidents.
- Surveillance: Oversee the security team to protect company property against theft, pilferage, and unauthorized intruders.
- Intelligence: Establish intelligence sourcing and information gathering to thwart potential losses or damages.
- Records: Maintain authenticated records for gate entries, material movement, and visitor logs.
2. EHS & Statutory Compliance
- Safety Standards: Implement and monitor Environment, Health, and Safety (EHS) protocols to ensure a hazard-free workplace.
- Government Liaison: Direct responsibility for liaising with PCB (Pollution Control Board), Electricity Department, Fire Department, Water Department, and Municipal agencies.
- Clearances: Obtain and renew all statutory licenses, clearances, and operational approvals required for factory operations.
- Regulatory Compliance: related to building, DG, EHS and ETP (Effluent Treatment Plant) documentation.
- Audit Readiness: Lead periodic internal and external audits for safety and compliance.
3. Transport/Vehicle Management
- Vehicle Management: Control and maintain all company-owned vehicles, including all legal formalities, insurance, and fitness certifications.
- Staff Transport: Efficiently manage staff and worker transport schedules and vendor coordination.
- Efficiency: Review daily logs, fuel consumption, and GPS tracking to optimize costs and performance.
4. Facility & General Administration
- Housekeeping: Supervise 5S/housekeeping standards across the shop floor, office areas, and outer periphery.
- Building Maintenance: Handle whitewashing, plumbing, painting, and woodwork in coordination with the engineering department.
- Canteen & Amenities: Oversee canteen hygiene and smooth functioning. Manage water dispensers, toilet maintenance, and furniture fixtures.
- Events: Coordinate and execute official company events and functions.
5. Budgeting & Vendor Management
- Cost Control: Monitor and manage the administration budget for various departments.
- Negotiation: Negotiate best rates for AMCs (Annual Maintenance Contracts) with various vendors.
- Waste Management: Manage industrial and general waste control and its proper disposal as per norms.
CANDIDATE REQUIREMENTS
• Education: Bachelor's or Master's in any discipline.
• Experience: 10–15 years in Administration, with at least 5 years in a similar managerial capacity.
• Industry: Must have experience in Printing, Packaging, or Manufacturing.
• Skills: Proficiency in ERP systems and Advanced MS Excel.
