Job Description

We are urgently hiring for Admin Executive for our corporate client in Hyderabad.

Location - HiTech City

CTC - 7 LPA

Job Summary:

We are looking for a proactive and detail-oriented Admin Executive to manage day-to-day administrative operations, ensure smooth facility management, and efficiently handle domestic & international travel arrangements for employees. The ideal candidate should be highly organized, have excellent coordination skills, and be able to manage multiple tasks with accuracy.

Key Responsibilities:

1. Facility Management

  • Oversee the daily upkeep of office premises, housekeeping, security, and maintenance services.
  • Coordinate with vendors for repairs, AMC services, office supplies, and utilities.
  • Ensure workplace safety, hygiene, and compliance with company standards.
  • Manage office assets, stationery, and inventory records.

2. Domestic Air Travel Arrangement

  • Book domestic flights for employees as per travel policies.
  • Coordinate with travel agencies for best fares and timely bookings.
  • Manage changes, cancellations, and rescheduling as required.
  • Maintain proper documentation and travel records.

3. International Air Travel Arrangement

  • Handle end-to-end international travel bookings including flights, visas, and insurance.
  • Coordinate with HR/management regarding travel approvals and documentation.
  • Ensure compliance with international travel guidelines and company policies.
  • Track and share travel itineraries, confirmations, and updates.

4. Hotel Stay Arrangement

  • Book accommodation for employees and guests (domestic & international).
  • Negotiate preferred rates with hotels and maintain vendor relationships.
  • Ensure timely confirmation of bookings, check-in/check-out coordination, and billing accuracy.

5. Travel Desk Management

  • Act as the single point of contact for all employee travel requirements.
  • Manage the travel desk operations including ticketing, hotel bookings, cabs, and travel support.
  • Maintain travel MIS, expense tracking, and monthly reports.
  • Ensure adherence to travel policies and support employees during travel emergencies.

Skills & Qualifications:

  • Bachelor's degree in any discipline.
  • 25 years of experience in administration or travel coordination roles.
  • Strong communication and vendor management skills.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Ability to multitask, prioritize, and work under minimal supervision.
  • Knowledge of travel tools, travel portals, or coordination with travel agencies.
