Job Title: Administrative Assistant
Key Responsibilities:
Client Onboarding & Administrative Support:
- Lead and manage the client onboarding process, ensuring timely and professional communication with new clients.
- Follow up with clients to collect required documents, schedule onboarding calls, and guide them through the initial steps of engagement.
- Communicate with clients primarily via email and phone to answer onboarding questions and provide support.
- Coordinate internally with relevant team members to ensure all onboarding tasks are completed accurately and efficiently.
- Monitor the onboarding pipeline and ensure no client is delayed or missed in the process.
- Update and maintain onboarding trackers, forms, and templates.
- Perform general administrative duties including calendar management, email correspondence, and document preparation.
Marketing Support:
- Assist with creating and scheduling LinkedIn posts and re-sharing relevant content to maintain brand visibility.
- Coordinate with the marketing team to ensure regular social media engagement across platforms.
- Support in drafting marketing emails and newsletters when needed.
- Help maintain a content calendar and track campaign deliverables.
- Monitor engagement and help prepare basic performance reports on social and email marketing campaigns.
Ideal Candidate:
- 2+ years of experience in an administrative, client service, or onboarding-related role.
- Strong written and verbal communication skills, with a professional and friendly tone.
- Ability to handle multiple onboarding and marketing tasks simultaneously with strong attention to detail.
- Proactive, resourceful, and able to work independently.
- Familiarity with LinkedIn, email marketing tools (e.g., Mailchimp, Constant Contact), and basic content scheduling tools.
- Comfortable using productivity software including spreadsheets, email platforms, and project management tools (e.g., Trello, Asana, or similar).
