Summary:
We are seeking an experienced Administrative Assistant to support our team with various administrative tasks. The ideal candidate should have a strong background in providing comprehensive support to leadership teams, managing calendars, and coordinating travel arrangements.
Responsibilities:
- Provide team support at all levels possible.
- Manage calendar support for leadership team members.
- Arrange international and domestic travel for leadership team members.
- Reconcile and process expenses for leadership team members.
- Engage and support in morale activities for teams and functional centers.
- Support team events, All Hands meetings, Town Halls, etc.
- Coordinate meeting room bookings, arrange catering, and handle other miscellaneous requirements.
- Manage executive management needs, including food and other arrangements as required.
- Update and manage gifts on internal SharePoint.
- Handle T&E accruals and PO accruals.
- Update data as required and raise purchase orders for various needs.
- Order hardware, laptops, and peripherals for the team.
- Manage space and update data and infrastructure as needed.
- Handle HeadTrax changes for locations and reporting changes as appropriate.
- Manage new hire onboarding and exit formalities of employees.
Requirements:
- 3-5 years of experience as an administrative assistant.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other administrative tools.
Preferred Skills:
- Experience with SharePoint and managing internal databases.
- Ability to handle confidential information with discretion.
