Job Description

Summary:

The Administrative Assistantrole involves supporting team operations, managing space and compliance, handling procurement, and assisting with headcount and finance management. This position requires strong organizational skills and the ability to manage multiple tasks efficiently.

Responsibilities:

  • Team Support:
    • Maintain people data management including titles, cost centers, and project codes.
    • Create, build, and adjust plans within areas of responsibility in partnership with the Business Manager.
    • Manage team alias and be the main point of contact for ad-hoc requests and questions.
    • Acknowledge emails within 24 hours and take action within 48 hours or less, subject to priority level.
    • Coordinate team morale events, including purchasing, logistics, and direction.
  • Space:
    • Responsible for floor plans/space maps and keeping them up to date.
    • Assist with end-to-end move planning, coordination, and execution.
    • Manage touchdown spaces and enforce policy regarding assigned vs. unassigned spaces.
    • Conduct monthly space walks to ensure cleanliness and accuracy of maps.
  • Compliance:
    • Assist with policy enforcement in all business operations and events.
    • Track and remind required training to completion.
  • Procurement:
    • Point of contact for new hire and refresh equipment policy and procedure.
    • Order additional standard equipment, furniture, and team supplies as appropriate.
    • Manage storage room inventory for assets, peripherals, and supplies.
  • Growth and Development:
    • Participate in stretch projects and v-teams.
    • Support the GIVE campaign and engage with the administrative community.
    • Build networks and relationships with peers, business partners, external EAs, customers, and suppliers.
  • Diversity & Inclusion:
    • Champion an inclusive environment and lead by example in company cultural values.
  • Headcount:
    • Assist with end-to-end PCN management, including updates, requisitions, and syncs with hiring managers.
    • Manage vendor account creations and execution of extensions/terminations.
    • Handle onboarding and offboarding processes, including equipment orders and space assignments.
  • Finance Management:
    • May approve team expense reports and track discretionary budget.
    • Perform PO creation/closures for discretionary budget requests and handle GSR/Invoice approvals.
    • Submit own expense reports by due date.

Required Skills:

  • Strong organizational and communication skills.
  • Ability to manage multiple tasks efficiently.
  • Proficiency in data management and office software.

Preferred Skills:

  • Experience in administrative roles or similar positions.
  • Familiarity with company policies and procedures.
