About the Role:

The Admin & Facilities Director will lead the organization's administration, facilities, and travel functions across locations, ensuring operational excellence, compliance, cost optimization, and a great employee experience. This role owns travel strategy & governance, vendor and contract management, workplace operations, procurement for admin categories, and risk & compliance while driving digital enablement and scalable processes. The role requires strong stakeholder management, commercial acumen, and experience leading multi-location teams..

Key Responsibilities:

Strategy, Governance & Compliance

  • Define and implement the Admin & Facilities strategy, policies, SLAs, and governance frameworks.
  • Implement business continuity plans for Admin, facilities incidents, and critical events..

Administration & Facilities

  • Lead office administration: front office, housekeeping, cafeteria, security, mailroom, helpdesk.
  • Oversee facility operations: space planning, seating, asset & inventory control, AMC/maintenance, utilities.
  • Manage events/meetings, visitor management, and corporate transport/shuttle (if applicable).
  • Ensure workspace health, safety & statutory compliance (local laws, fire safety, audits)

Vendor & Contract Management

  • Identify, onboard, and manage strategic vendors for travel, hotels, transport, facilities, and supplies.
  • Drive RFP/RFQ, negotiations, SLAs/penalties, and performance reviews (QBRs/MBRs).
  • Build rate cards and preferred supplier programs across categories.

Budgeting, Controls & Reporting

  • Own annual budgeting and cost control for Admin & Travel.
  • Track savings (YoY), ROI, leakages, and utilization; present MIS & dashboards to leadership.
  • Ensure audit readiness and policy compliance across all locations.

Technology & Process Excellence

  • Implement OBT/Expense tools (e.g., Concur, SAP Travel, Navan, Neo), Facility/CAFMs, and ticketing systems.
  • Drive automation, self-service, and data-driven decision-making (KPIs, SLAs).
  • Standardized SOPs for multi-location scalability and strong internal controls
