About The Role

We are looking for a proactive and organised Admin & Operations Executive / Admin Officer to manage end-to-end administrative and facility operations across the corporate office. The role will be responsible for ensuring smooth day-to-day functioning, cost control, workplace safety, and efficient coordination with internal teams, vendors, and external service partners.

The ideal candidate should have strong administrative and coordination skills, a cost-conscious mindset, and the ability to handle multiple operational requirements in a fast-paced environment.

Key Responsibilities

  • Manage day-to-day administration and facility operations of the office.
  • Coordinate office maintenance, housekeeping, security, pantry, utilities, and other facility requirements.
  • Handle vendor management, including vendor identification, negotiation, service coordination, and SLA monitoring.
  • Monitor and control administrative and facility-related expenses.
  • Coordinate employee travel, accommodation, transportation, and other logistics requirements.
  • Manage travel and administrative reimbursements and ensure timely processing.
  • Maintain records of office assets, equipment, inventory, and consumables.
  • Ensure proper asset allocation, tracking, and periodic verification.
  • Coordinate with HR, Finance, Operations, IT, and other departments for administrative requirements.
  • Manage office supplies, stationery, pantry requirements, and other operational inventories.
  • Ensure workplace hygiene, safety, and housekeeping standards are consistently maintained.
  • Handle multiple office/location-related administrative activities, if required.
  • Prepare basic MIS reports related to administration, expenses, vendors, assets, and facility operations.
  • Identify operational gaps and proactively implement solutions to improve efficiency and reduce costs.
  • Support audits, compliance requirements, and documentation related to administration and assets.
  • Handle urgent administrative and operational issues and ensure timely resolution.

Key Skills & Competencies

  • Strong understanding of Administration and Facility Management.
  • Experience managing corporate offices, warehouses, or retail setups.
  • Strong vendor management, negotiation, and cost optimisation skills.
  • Excellent coordination and stakeholder management abilities.
  • Strong organisational and multitasking skills.
  • Detail-oriented with a cost-conscious approach.
  • Ability to work under pressure and manage operational challenges effectively.
  • Good communication and interpersonal skills.
  • Proficiency in MS Excel, Google Sheets, and basic MIS reporting.
  • Proactive, solution-oriented, and responsible approach to work.

Qualifications & Experience

  • Graduate in any discipline.
  • MBA / PG Diploma in Management will be an added advantage.
  • 3–4 years of experience in Administration, Facilities, Office Management, or Operations.
  • Experience handling corporate and multi-location operations will be preferred.
