We are looking for a high-ownership, process-driven, and people-focused Admin & HR Manager who understands the fast-paced nature of the event industry and can build structure, efficiency, and strong people practices within it.
Role Overview
The Admin & HR Manager will be responsible for managing the complete employee lifecycle, office administration, compliance, policies, people processes, and culture while also ensuring smooth operational support for a growing, dynamic events organization.
This role requires someone who can balance people management + operational discipline + commercial awareness + high empathy, and who thrives in a creative yet high-pressure environment.
Key Responsibilities
A. Human Resources Responsibilities
1. Talent Acquisition & Onboarding
- Manage end-to-end recruitment for all roles (client servicing, creative, production, operations, freelancers).
- Partner with functional heads to understand manpower requirements and timelines.
- Drive sourcing via LinkedIn, consultants, referrals, portals, and industry networks.
- Conduct first-round HR screenings and coordinate interviews.
- Manage offer letters, negotiations, and joining formalities.
- Ensure structured onboarding, induction, and probation tracking.
2. Employee Lifecycle Management
- Maintain complete employee records (personal data, contracts, compliance, performance history).
- Manage confirmations, appraisals, promotions, role changes, and exits.
- Conduct exit interviews and analyze attrition trends.
- Ensure smooth offboarding and final settlements.
3. Performance Management
- Implement and manage performance review cycles.
- Support leadership in goal setting, KPIs, and appraisal frameworks.
- Track performance outcomes and development plans.
4. Employee Engagement & Culture
- Drive engagement initiatives, team bonding, celebrations, learning programs, and internal communications.
- Act as a culture ambassador, ensuring alignment with F5 values.
- Address grievances, conflicts, and employee concerns with empathy and discretion.
- Support leadership in building a positive, inclusive, and accountable culture.
5. Policies, Compliance & HR Operations
- Draft, update, and implement HR policies (leave, attendance, travel, discipline, POSH, etc.).
- Ensure compliance with labor laws, PF, ESIC, gratuity, and statutory requirements.
- Manage HR audits, documentation, and reporting.
- Oversee payroll coordination, attendance tracking, leaves, and reimbursements.
B. Administration Responsibilities
1. Office & Infrastructure Management
- Ensure smooth day-to-day office operations.
- Manage office vendors housekeeping, security, IT support, pantry, maintenance.
- Oversee office lease, utilities, repairs, asset management, and inventory.
- Maintain workplace safety and hygiene standards.
2. Vendor & Contract Management
- Identify, onboard, and manage admin vendors and service partners.
- Negotiate contracts and ensure cost efficiency.
- Track renewals, payments, and service quality.
3. Travel & Logistics Support
- Manage employee travel, accommodation, and logistics for events.
- Create travel policies and manage cost control.
- Support on-ground event logistics from an admin perspective.
4. Procurement & Asset Control
- Manage procurement of office supplies, hardware, and admin needs.
- Maintain asset registers and track issuance and returns.
C. Strategic & Leadership Contribution
- Act as a trusted partner to leadership on people and culture matters.
- Build scalable HR and admin processes suitable for a growing organization.
- Bring structure to a creative and fast-moving environment.
- Proactively identify risks, gaps, and opportunities in people and operations.
Required Skills & Experience
- Minimum 5 years of experience as an HR/Admin professional mandatory experience in events, experiential marketing, advertising, production, or hospitality industries.
- Strong understanding of HR processes, labor laws, and statutory compliance.
- Hands-on experience in recruitment, performance management, and employee relations.
- Proven ability to manage admin operations, vendors, and office infrastructure.
- Excellent interpersonal, communication, and negotiation skills.
- High emotional intelligence, discretion, and integrity.
- Ability to work in a fast-paced, deadline-driven environment.
- Strong organizational, documentation, and process orientation.
- Comfortable handling ambiguity and change.
