Job Summary:

We are looking for a proactive, organized, and detail-oriented Admin Executive to manage day-to-day administrative operations, vendor coordination, and site purchase activities for real estate projects. The ideal candidate should be capable of handling office administration efficiently while ensuring smooth coordination between site teams, vendors, and internal departments.

Key Responsibilities:

* Handle daily administrative operations and office management activities.

* Manage site-related purchases, procurement activities, and vendor coordination.

* Maintain purchase records, invoices, bills, quotations, and documentation accurately.

* Coordinate with contractors, suppliers, and site teams regarding material requirements and deliveries.

* Compare quotations and negotiate with vendors to ensure cost-effective procurement.

* Track inventory levels and ensure timely availability of site materials and supplies.

* Manage office supplies, stationery, maintenance requirements, and administrative expenses.

* Maintain files, agreements, records, and documentation systematically.

* Coordinate meetings, site visits, travel arrangements, and administrative schedules.

* Support accounts, operations, and project teams with purchase-related documentation and follow-ups.

* Ensure smooth communication between office staff, vendors, contractors, and site teams.

* Follow up on deliveries, pending orders, and vendor commitments to avoid delays.

* Assist with general administrative tasks and support organizational operations as required.

Requirements:

* Bachelor's degree in any discipline.

* 2–5 years of experience in administration, procurement, or purchase coordination, preferably in real estate or construction.

* Good working knowledge of MS Excel, Word, and documentation processes.

* Strong negotiation, coordination, and vendor management skills.

* Good communication, multitasking, and problem-solving abilities.

* Ability to work under deadlines and manage multiple priorities effectively.

Preferred Skills:

* Experience in real estate, construction, or site administration.

* Understanding of site materials, procurement processes, and vendor management.

* Strong organizational skills and attention to detail.

* Good record-keeping and documentation management abilities.
