Job Summary
We are seeking a proactive and detail-oriented Administrative Officer to oversee and coordinate administrative operations in our foundry. This role requires a good understanding of industrial environments and the ability to manage multiple responsibilities including documentation, compliance, communication, and support to production and HR functions.
Key Responsibilities
- Coordinate day-to-day administrative activities to support foundry operations.
- Maintain and organize documents such as production logs, maintenance schedules, material requisitions, and inspection reports.
- Ensure compliance with health, safety, and environmental regulations; assist in maintaining related records.
- Monitor attendance, handle leave applications, and coordinate with HR on payroll inputs for factory workers.
- Liaise with suppliers and vendors for procurement of consumables, uniforms, and safety equipment.
- Assist in inventory management and coordination with stores and purchase departments.
- Schedule and organize meetings, trainings, and audits; prepare minutes and follow-ups.
- Handle visitors, phone calls, and external communication in a professional manner.
- Support facility maintenance by coordinating with housekeeping and utility service providers.
- Maintain records of machine servicing, AMC contracts, and insurance renewals.
Requirements
- Bachelor's degree in Business Administration or equivalent.
- 0-2 years of administrative experience in a manufacturing or foundry environment.
- Knowledge of factory compliance and documentation (ISO, EHS, etc.) is a plus.
- Proficiency in MS Office (Word, Excel, Outlook); knowledge is advantageous.
- Strong organizational, communication, and multitasking skills.
