Job Description

We are hiring for Accounts/ Payroll Executive in Andheri, Mumbai location .

Position Summary

The Accounts/Payroll Executive supports end‑to‑end payroll operations for crew members, ensuring accurate statutory calculations, timely invoice processing, and compliance with internal and regulatory requirements. The role works closely with the Payroll Co‑Ordinator and visits welfare offices to complete statutory submissions within defined timelines.

Key Responsibilities (SMART‑Aligned)

Monthly Payroll Review — Assist the Payroll Co‑Ordinator in reviewing monthly crew portage bills, ensuring 100% accuracy of earnings, deductions, and statutory components before payroll closure.

Statutory Calculations — Support the calculation of PF, Gratuity, SWFS, and union dues for crew sign‑on/sign‑off cases, ensuring submission within defined government deadlines.

Vendor Invoice Verification — Review vendor invoices related to payroll activities, ensuring error‑free validation before forwarding for processing.

Invoice Closure in SN1 — Assist in closing invoices in SN1 within 2 working days of approval to support timely payment cycles.

Special Allotment Review — Verify special allotments and ensure they comply with internal policies, documenting exceptions and obtaining approvals as required.

Shipmate Allotment & CTM Processing — Review allotments, special allotments, and Cash‑to‑Master (CTM) requests in Shipmate, ensuring 100% adherence to internal controls and processing within defined turnaround times.

Welfare Office Coordination — Visit PF, Gratuity, SWFS, RBSS, ISHS, NUSI, and MFSWT offices 2–3 times per month to submit documents and collect payment acknowledgments, ensuring timely statutory compliance.

Performance Indicators (KPIs)

  • Payroll accuracy rate: ≥ 99%
  • Statutory submission timeliness: 100% compliance
  • Invoice processing turnaround: ≤ 2 working days
  • Shipmate request processing SLA: On‑time completion
  • Error rate in statutory calculations: Zero critical errors
  • Welfare office visits: Completed as scheduled with documentation
