Organization: Five Threads Foundation (Partner Organization)

Reporting To: Senior Accounts Manager / Finance Manager

Function: Accounts, Documentation Management System (DMS), & Compliance Support

Role Overview

The Accounts Manager is responsible for managing day-to-day accounting operations with precision, ensuring accurate data entry, timely reconciliations, complete documentation, and compliance with internal policies and external regulations. This role ensures all records are audit-ready, compliant, and aligned with approved budgets. A strong command of Tally and Excel is the most important criterion for success in this position.

Key Roles & Responsibilities

1. Day-to-Day Accounting Operations

  • Record and maintain all accounting transactions including vendor bills, staff reimbursements, consultant payments, receipts, and income entries.
  • Ensure correct classification under appropriate ledger heads, cost centres, projects, and funder codes.
  • Maintain accuracy and completeness of accounting data.

2. Voucher Verification & Documentation

  • Verify supporting documents (invoices, contracts, approvals) for all transactions.
  • Ensure compliance with internal finance policies and approval matrices.
  • Maintain organised physical and digital filing through the Documentation Management System (DMS).

3. Payments & Vendor Management

  • Process vendor and staff payments after compliance verification.
  • Track advances, settlements, and pending adjustments.
  • Maintain and update vendor master data.
  • Perform periodic vendor reconciliations.

4. Bank, Cash & Ledger Reconciliations

  • Prepare and review bank and cash reconciliations.
  • Ensure timely closure of open items.
  • Investigate discrepancies and resolve differences.

5. Budget & Expense Tracking

  • Monitor expenses against approved budgets and projects.
  • Highlight deviations, incorrect bookings, or missing approvals.
  • Support finance leadership in budget control and expense management.

Required Skills & Qualifications

Technical Skills (Must-Have)

  • Tally ERP (or Tally Prime) Strong proficiency required for daily accounting, bookkeeping, ledger management, reconciliations, Cost Centre management, Document Management System (DMS) and reporting.
  • Microsoft Excel Advanced skills (VLOOKUP/XLOOKUP, PivotTables, data analysis, formulas, formatting, and reporting).

Other Competencies

  • Knowledge of accounting principles and standards
  • Good documentation and record-keeping
  • Ability to work accurately under deadlines
  • Strong organisational and communication skills
  • Familiarity with statutory compliance and audit preparation

Preferred Qualifications & Experience

  • Master's or bachelor's degree in accounting, Finance, Commerce, or related field.
  • 5+ years of accounting experience (preferably in non-profit or project-based finance), specially tally experience is mandatory.
  • Experience using Tally and advanced Excel to manage financial data and reporting.
