Job Description

Job Title: US Accounting Virtual Admin, SOP Documentation & QuickBooks Online

Location: Mohali, Punjab

Work Mode: Work from Office

Shift: Pacific Time Zone / Night Shift

Employment Type: Full-Time

Experience Required: 3+ years overall work experience

QBO Experience: Minimum 1 year preferred

Qualification: Bachelor's degree in Accounting, Finance, Commerce, or related field

Job Summary

We are looking for a skilled and detail-oriented US Accounting Virtual Admin to join our Mohali office. The ideal candidate should have strong English communication skills, experience in QuickBooks Online, basic accounting knowledge, and the ability to create clear SOPs and process documentation.

This role will involve working closely with U.S.-based clients and internal teams. The primary responsibility will be documenting business processes, creating SOPs, and supporting day-to-day admin tasks. The candidate may also assist with bookkeeping, financial reports, journal entries, and accounting spreadsheet maintenance when required.

Key Responsibilities

  • Create, update, and maintain SOPs and process documentation
  • Document client workflows, internal processes, and step-by-step procedures
  • Communicate with U.S.-based clients and internal team members
  • Perform bookkeeping data entry in QuickBooks Online when required
  • Maintain accounting and finance spreadsheets
  • Generate basic financial reports such as balance sheets and income statements
  • Record journal entries when needed
  • Support day-to-day office admin and back-office tasks
  • Act as a liaison between clients and internal teams
  • Prioritize tasks and meet deadlines with accuracy

Required Skills

  • Strong conversational and written English communication
  • Minimum 1 year of experience using QuickBooks Online
  • Basic understanding of accounting and financial concepts
  • Good knowledge of SOP creation and process documentation
  • Strong attention to detail and accuracy
  • Ability to work independently with minimal supervision
  • Good organizational and time management skills
  • Comfortable working with U.S.-based clients
  • Ability to handle multiple tasks when required
  • Proficiency in MS Excel, Google Sheets, and documentation tools

Preferred Candidate Profile

  • Experience working with U.S., Canada, or international accounting clients
  • Prior experience in bookkeeping, accounting support, or finance admin roles
  • Experience creating SOPs, checklists, manuals, or process documents
  • Comfortable working in night shift or Pacific Time Zone hours
  • Professional, reliable, honest, and client-service focused
