FLEX Commodities is looking for a proactive, detail-oriented Accounts & Administration Executive to support our Singapore operations.
This role suits an experienced accounting professional with strong knowledge of Singapore statutory compliance and office administration. You'll manage day-to-day accounting, payroll coordination, statutory reporting, and office admin — working closely with our Finance Manager in Dubai and the HR & Administration team.
Open to Singapore Citizens and Singapore PRs only.
Key Responsibilities
Finance & Accounting
- Manage accounts payable and receivable
- Process supplier payments and customer receipts
- Prepare journal entries and maintain the general ledger
- Perform bank and monthly balance sheet reconciliations
- Assist with month-end and year-end closing
- Maintain accurate records and supporting documentation
- Liaise with banks, auditors, vendors, and service providers
GST & Statutory Compliance
- Prepare and coordinate GST submissions
- Ensure compliance with Singapore accounting standards
- Maintain audit and tax documentation
- Coordinate with external accountants and corporate service providers
Payroll & Administration
- Coordinate monthly payroll with the payroll provider
- Administer CPF submissions and statutory contributions
- Maintain payroll records and handle employee queries
Office Administration
- Manage day-to-day admin of the Singapore office
- Coordinate office facilities, supplies, vendors, and service providers
- Maintain company and administrative records
- Coordinate courier services, travel, and office maintenance
- Assist with employee engagement activities and office events
- Manage procurement of pantry, stationery, and office supplies
- Coordinate office maintenance (incl. aircon servicing) via MCST-approved contractors
- Manage payment of office bills and petty cash, with accurate records and reconciliations
Regional Coordination
- Work closely with the Finance Manager in Dubai
- Collaborate with HR & Administration team
- Coordinate with regional teams across multiple locations
- Support ad hoc finance, admin, and operational projects
Qualifications & Skills
Education
- Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or related field
Experience
- 3–5 years of relevant accounting and administration experience
- Hands-on experience with GST, CPF, payroll coordination, and Singapore statutory compliance
- Experience in a multinational or regional organization preferred
- Experience in commodities, shipping, marine fuels, trading, or logistics is an advantage
Technical Skills
- Proficient in Microsoft Excel and Office applications
- Experience with ERP/accounting systems (Odoo is a plus)
- Strong understanding of Singapore accounting practices and regulations
Soft Skills
- Strong analytical and problem-solving skills
- Excellent communication and presentation abilities
- Detail-oriented, able to meet tight deadlines in a fast-paced environment
