Job Description

Job Summary:

The Accounts Executive will be responsible for managing day-to-day accounting operations with a strong focus on invoice management, dispatch coordination, automation of order processes, and ensuring accuracy in billing and documentation. This role demands excellent attention to detail, coordination with internal teams, and proactive follow-up to maintain seamless financial and operational records.

Key Responsibilities:

  • Address and resolve queries related to invoice discrepancies, client billing, and documentation in a timely manner.
  • Prepare and verify Delivery Challans (DCs) for dispatches, ensuring alignment with invoices and purchase orders.
  • Drive automation initiatives for drop-shipping orders to streamline billing and dispatch processes.
  • Coordinate with the sales and operations teams for Purchase Order (PO) follow-ups to ensure timely invoicing and order closure.
  • Maintain updated billing address records for clients and ensure accuracy in financial documentation.
  • Update and monitor the dispatch list daily, tracking deliveries and ensuring all related documents are filed systematically.
  • Support the Accounts Manager in reconciliation, reporting, and process improvement initiatives.
  • Ensure compliance with company policies and assist in audits or financial reviews as required.
  • Manage final invoice making and generate e-way bills in compliance with statutory requirements.

Desired Skills & Competencies:

  • Strong knowledge of invoice processing, dispatch documentation, and accounting practices.
  • Proficiency in Tally / ERP systems / Excel and comfort with automation tools.
  • Excellent coordination and communication skills for cross-functional interactions.
  • Strong analytical skills and attention to detail.
  • Ability to manage multiple priorities under tight deadlines.

Qualifications & Experience:

  • Education: B.Com / M.Com or equivalent degree in Accounting or Finance.
  • Experience: Minimum 35 years of experience in accounts operations, preferably in a trading, manufacturing, or corporate gifting environment.
