Job Description

This is primarily an admissions and conversion-focused role. The Academic Counselor will be responsible for handling incoming leads, identifying serious prospects, speaking with students and parents, guiding them through the admission process, and ensuring that leads are properly followed up and converted.

Apart from admissions, this person will also coordinate with the academic coordinator/head to support academic flow, student communication, documentation, and selected marketing-related follow-ups.

This role is ideal for someone who is strong in communication, disciplined in follow-ups, comfortable with sales targets, and highly organized in CRM handling.

Key Responsibilities

1) Lead Handling and Admissions Conversion

Understand and manage student leads coming through CRM, calls, forms, campaigns, and walk-ins

Identify high-potential leads and take quick action to contact them

Call, counsel, and follow up with students and parents to drive admissions

Convert interested prospects into campus visits, consultations, or direct enrollments

Clearly explain course details, fees, batch timing, outcomes, and career opportunities

Handle objections confidently and move leads toward closure

Work toward monthly admission targets assigned by management

2) CRM Management and Daily Lead Tracking

Use GoHighLevel CRM properly on a daily basis

Update every lead status accurately without delay

Maintain strong follow-up discipline so no good lead is missed

Track inquiry stage, consultation stage, payment status, and admission stage correctly

Submit end-of-day updates on lead progress, pending follow-ups, conversions, and issues

3) Admission Closure, Payments, and Documentation

Coordinate fee payment process for students who confirm admission

Assist students and parents with EMI/payment-related communication wherever applicable

Ensure admission forms, documents, confirmations, and onboarding formalities are completed properly

Coordinate with internal team to ensure students receive correct joining instructions before the first day

4) Student Onboarding and Coordination

Help ensure new students are onboarded smoothly

Coordinate with the academic head/coordinator for batch joining, classroom readiness, and communication

Ensure first-day instructions, required documents, and student expectations are clearly communicated

Act as a bridge between admissions, operations, and academics for a smooth student journey

5) Support for Academic and Marketing Coordination

Coordinate with the academic coordinator/head on student-related communication and flow

Support execution of admission campaigns by sharing feedback from leads and parents

Give useful ground-level insights to improve marketing quality, lead quality, and conversion messaging

Assist in basic coordination related to curriculum communication, student concerns, and admission activities when needed

Key Performance Indicators (KPIs)

The performance of this role will mainly be measured on:

Monthly admissions achieved

Lead-to-consultation conversion rate

Consultation-to-admission conversion rate

Follow-up discipline and response speed

CRM accuracy and daily update quality

Payment/documentation completion without delay

Overall contribution to smooth admissions and onboarding flow

Candidate Profile

We are looking for someone who:

Has strong spoken communication and convincing ability

Is confident speaking to students and parents over phone and in person

Is target-oriented and comfortable with a conversion-focused role

Has good discipline in follow-up and daily reporting

Is organized, responsible, and detail-oriented

Can work closely with admissions, academic, and marketing teams

Can handle pressure during admission periods without losing consistency

Preferred Experience

1 to 3 years of experience in academic counseling, admissions, inside sales, tele-calling, or student conversion roles

Experience in an education institute, training center, academy, or sales environment is preferred

Prior experience using a CRM is preferred

Familiarity with GoHighLevel will be an added advantage

Required Skills

Strong communication in Malayalam and English

Good phone etiquette and follow-up skills

Basic computer and spreadsheet handling

CRM discipline and process orientation

Ability to understand student intent and prioritize serious leads

Good coordination and reporting ability

Important Note

This is not just a front-desk or back-office role. This is a high-responsibility admissions role where the main expectation is to convert leads into students and ensure a professional admission experience.
