Job Description:
We're looking for an Associate – Academic Operations to drive the day-to-day academic execution and Learner experience across our programs and university campuses.

This role sits at the intersection of Learners, faculty, academic leadership, and university stakeholders. You will be responsible for ensuring that academic operations run smoothly — from planning and scheduling classes to tracking attendance and academic progress, coordinating with faculty, managing Learner concerns, and ensuring timely closure of operational dependencies.

You will work closely with internal academic teams and university stakeholders to ensure that classes, assessments, examinations, Learner interventions, and other academic activities are executed as planned. The role requires high ownership, strong communication, attention to detail, logical thinking, and the ability to solve complex problems in a fast-paced environment.

Key Responsibilities:

  • Academic Operations: Own day-to-day academic operations for assigned batches, ensuring classes, labs, assessments, examinations, revision sessions, contests, and other academic activities are executed as per plan.
  • Cohort Management: Coordinate and maintain cohort calendars, academic schedules, faculty schedules, assessments, events, and other academic activities. Ensure timely communication of schedules and changes to Learners and stakeholders.
  • Faculty Coordination: Work closely with faculty and academic teams to ensure timely completion of academic deliverables including attendance, assessments, assignments, study materials, recordings, session reports, and other academic requirements.
  • Learner's Experience: Act as a key point of contact for Learners on academic and operational matters. Identify Learner concerns, ensure timely resolution, and coordinate with relevant teams wherever escalation is required.
  • Attendance & Academic Tracking: Monitor Learner attendance, engagement, assignments, assessments, academic performance, and other key academic metrics. Identify gaps and coordinate interventions for Learners or cohorts requiring additional support.
  • University Coordination: Coordinate with university stakeholders including Deans, academic coordinators, department heads, faculty, examination teams, and administrative teams to ensure smooth execution of academic and Learner-related processes.
  • Stakeholder Management: Work cross-functionally with Academic, Examination, Learner Experience, Admissions, Marketing, and other internal teams to ensure timely execution and closure of operational dependencies.
  • Data & Documentation: Maintain accurate Learner, batch, faculty, attendance, assessment, and academic records. Prepare regular trackers, reports, and dashboards to provide visibility into academic operations.
  • Escalation Management: Identify operational issues proactively and act as the first point of coordination for resolving Learner, faculty, scheduling, and academic execution-related challenges.
  • Process Improvement: Identify recurring operational challenges and inefficiencies and drive improvements through better processes, documentation, trackers, automation, and data-driven decision making.
  • Academic Initiatives: Support the planning and execution of Learner interventions, revision classes, one-on-one sessions, contests, feedback cycles, academic events, and other initiatives aimed at improving Learner engagement and outcomes.

Who You Are:

  • 1–2 years of relevant experience in academic operations, program operations, education, Learner success, or university operations.
  • Experience working with or within universities/colleges or education organizations is strongly preferred.
  • Strong communication and stakeholder management skills with excellent written and verbal English.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously.
  • Strong ownership and ability to independently drive tasks from planning to execution and closure.
  • Comfortable working with Learners, faculty, academic leaders, and university stakeholders.
  • Strong logical thinking and problem-solving skills, with the ability to handle complex and time-sensitive situations.
  • Strong working knowledge of Microsoft Excel / Google Sheets and ability to work with trackers, reports, and operational data.
  • Proactive, reliable, and comfortable working in a fast-paced and ambiguous environment.
  • Passionate about improving Learner experience and building efficient academic processes.
