Job Description

Job Summary

The Academic Coordinator – Medical Education will be responsible for managing and executing academic and training programs at Dr. Shroff's Charity Eye Hospital. This role involves end-to-end coordination of fellowship, medical officer, and short-term training programs, ensuring seamless operations, high-quality trainee experience, and compliance with academic and regulatory standards. The coordinator will collaborate with clinical teams, faculty, and external stakeholders to plan academic schedules, drive program outreach, maintain data systems, and support continuous improvement in the education ecosystem.

Key Responsibilities

Manage end-to-end coordination of long-term (fellowships/Medical Officer) and short-term training programs, including outreach, selection, and onboarding

Plan and execute academic calendars and training schedules in alignment with departmental capacity

Oversee program logistics such as venue readiness, learning resources, faculty coordination, and trainee experience

Develop and maintain structured databases for trainees, alumni, and specialists, and manage communication systems for outreach

Drive program promotion through digital campaigns, emailers, and stakeholder engagement initiatives

Manage trainee lifecycle processes, including admissions, documentation, ID issuance, and compliance tracking

Coordinate with regulatory bodies (e.g., National Medical Commission, FRRO) for registrations and statutory compliance, especially for international trainees

Generate dashboards, MIS reports, and analytical insights to track program performance and support decision-making

Ensure adherence to academic standards, reporting formats, and institutional/partner requirements

Facilitate academic activities such as CMEs, examinations, and educational events

Liaise with cross-functional teams, including clinical departments, HR, finance, and vendors, for smooth execution

Support the implementation of digital learning systems (LMS) and drive continuous process improvements

Experience

2–4 years of relevant experience in academic coordination, program management, or healthcare operations

Experience in managing training programs, academic schedules, or institutional initiatives

Exposure to stakeholder coordination, reporting, and a Position Name- Academic Coordinator
