About our Team:

Our team creates both print-ready and digital versions of each publication, which may include sleeve designs, packaging, point-of-sale, and advertising materials, all prepared for production or duplication. We review and proof relevant copies, utilizing both internal and external resources for different production stages. Artwork is adapted for various territories or market releases. The team often negotiates with vendors and suppliers and works closely with procurement. This is a developing professional role, requiring working knowledge in the field, solving routine problems, and demonstrating proficiency with standard concepts and procedures, while receiving moderate guidance from more senior colleagues.

About the Role:

The Production Coordinator, or Local Supplier Manager (LSM), serves as the primary liaison to print suppliers for internal stakeholders and monitors overall print process, with special focus on society and advertising customer requirements, schedule timeliness and cost efficiencies. Oversees circulation and print run instructions in support of efficient inventory distribution and control. Supports production for multi-faceted custom advertising programs, including communication and coordination with global production sites and suppliers, to achieve delivery of effective advertising campaigns for customers, on schedule and within budget.

Responsibilities:

Local supplier management:

  • Serves as primary point of contact for supplier concerns and questions, so that supplier can best meet requirements for journals production
  • Manages print production schedule for assigned list of society-based journal publications, ensuring issue meet planned dispatch dates monitor month-end and quarterly issue targets for wider organizational content and revenue goals
  • Anticipates delays, issues, and risks and proactively mitigates problems
  • Resolves problems with scheduling and prioritizes issues as needed
  • Analyzes and responds to society or advertising-related queries regarding specifications, costs, and deadlines, with focus on fast and smooth communications and cost-effective solutions Consults with advertiser/commercial sales group to determine technical delivery requirements, and then coordinates and executes customer requirements with print suppliers
  • Investigates costs and feasibility and manages execution of ad hoc advertiser- or society-requested print projects (supplements, reprints, advertising campaigns)
  • Manages requests for advance copies
  • Coordinates international and domestic meeting/conference shipments, or bulk shipments plans or support print run accordingly
  • Serves as primary point of contact and knowledge resource for internal stakeholders (STMJ Publishing, Journal Management, Advertising Production, Advertising Sales, and Marketing) and liaison to suppliers, for any print or manufacturing concerns, problem troubleshooting, or general subject matter expertise
  • Quality control and proofing
  • Monitors print production costs and invoices
  • Supports process improvement exercises for streamlining manufacturing workflows and cost savings across the portfolio

Print run management/Distribution control

  • Initiates and prepares print run orders--and determines number and nature of issue versions--for supplier use through analysis of varied customer requests (marketing, society, advertising requirements)
  • Coordinates timely delivery of accurate mail list files through interactions with third-party circulation suppliers and print suppliers
  • Helps resolve print run related problems, working with print suppliers, society liaison coordinators, sales and production contacts identifies and learns exceptions
  • Manages inventory and circulation requirements for specific titles via fulfillment systems fulfillment supplier support with managing label run process queries, print executor changes, etc.
  • Handles and resolves any incoming ad hoc distribution problems (e.g., shortages, missing issues, rejects, etc.), connecting cross-functional teams and print/distribution suppliers in identifying root causes and corrective actions, including preventative measures for overall process improvement
  • Drives process improvement projects to streamline end-to-end workflow and fix process gaps

Requirements:

. Experience in publishing industry.

. Strong English language skills, with sound communication and interpersonal skills.

. Must be able to work independently but also be an excellent team player willing to adapt to the needs and requirements of a busy department.

. Strong organisational skills. A can-do approach to work and an interest in medical publishing. Good analytical and problem-solving skills.
