Role Overview

We're looking for a highly organized, proactive, and resourceful Executive Assistant to the CEO who can keep the CEO focused on what matters most. As a trusted partner, you'll manage priorities, streamline operations, and ensure seamless execution across day-to-day activities.

Key Responsibilities:

● Manage the CEO's calendar, appointments, meetings, and daily priorities.

● Coordinate internal and external meetings, prepare agendas, document action items, and ensure timely follow-ups.

● Handle travel planning, accommodation, logistics, and itinerary management.

● Prepare presentations, reports, meeting notes, and executive documentation.

● Manage email correspondence and act as a liaison between the CEO and internal teams, clients, investors, and external stakeholders.

● Track and reconcile expense reports while ensuring compliance with company policies.

● Prioritize incoming requests and proactively resolve scheduling conflicts.

● Maintain confidential business information, records, and sensitive documents with the highest level of discretion.

● Support cross-functional coordination and ensure timely execution of strategic initiatives.

● Assist in planning leadership meetings, board meetings, offsites, and company events.

● Drive operational efficiency by identifying process improvements and ensuring smooth day-to-day executive operations.

● Take ownership of ad hoc projects and provide administrative support as required.

Required Skills & Qualifications:

● Minimum 3 years of core experience as an Executive Assistant (EA) to a Founder, CEO, CXO, or senior leadership is mandatory.

● Overall 3–5 years of professional experience as an Executive Assistant, Executive Coordinator, or in a similar role supporting senior leadership.

● Bachelor's degree in Business Administration, Management, or a related field is preferred.

● Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.

● Strong executive support capabilities with excellent judgment and problem-solving skills.

● Experience managing complex calendars, scheduling across multiple stakeholders, and coordinating executive communications.

● Proficiency in Google Workspace or Microsoft 365 and productivity tools.

● Experience preparing presentations, reports, meeting minutes, and executive documents.

● Strong written and verbal communication skills with a high level of professionalism.

● Ability to maintain confidentiality and handle sensitive information with discretion.

● Highly proactive, resourceful, and capable of working independently in a dynamic environment.
