Job Title: Executive Assistant

Job Summary:

We are looking for a highly organized, proactive, and tech-savvy Executive Assistant to support our senior leadership team. This is a remote position, ideal for a self-starter who thrives in a fast-paced, digital-first environment. In addition to traditional executive support responsibilities, this role will play a key part in managing and executing email campaigns, helping the leadership team stay connected with clients, prospects, and stakeholders.

Key Responsibilities:

Manage and maintain executive calendars, including scheduling meetings, appointments, and virtual engagements.
Coordinate and prepare materials for internal/external meetings, presentations, and strategic reports.
Serve as the primary liaison between executives and internal/external contacts.
Handle highly confidential and sensitive information with discretion and professionalism.
Monitor and respond to email communications on behalf of leadership; draft responses where needed.
Prepare, edit, and proofread correspondence, communications, and presentations.
Maintain digital filing systems and ensure organized access to key documents.
Coordinate logistics for virtual events, webinars, and online business functions.
Track, submit, and follow up on expense reports and reimbursements.
Execute and manage targeted email campaigns, using tools like Mailchimp, HubSpot, or similar platforms.
Track campaign performance metrics and share regular updates with leadership.
Assist in the creation and scheduling of newsletters, promotional emails, and other marketing communications.
Support various ad-hoc projects and team initiatives as needed.

Qualifications:

Bachelor's degree in Business Administration or a related field (preferred).
3+ years of experience as an Executive Assistant, Virtual Assistant, or in a similar role.
Experience using email marketing tools (e.g., Mailchimp, SendGrid, HubSpot, etc.) is a must.
Strong knowledge of Microsoft Office Suite, Google Workspace, and virtual collaboration tools (Zoom, Slack, Teams).
Excellent written and verbal communication skills.
Exceptional organizational and time-management abilities.
Ability to multitask, prioritize, and manage shifting priorities in a remote environment.
Demonstrated initiative, discretion, and attention to detail.
