Executive Assistant (EA) to Vice President of Sales

About the Role

Client is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Managing Director in strategic, operational, and administrative activities. The ideal candidate will act as a trusted partner, ensuring seamless coordination of business priorities, stakeholder communication, scheduling, and executive decision support.

Key Responsibilities

Manage the Managing Director's calendar, meetings, travel plans, and appointments.

Coordinate internal and external communications on behalf of the MD.

Prepare presentations, reports, meeting agendas, MOMs (Minutes of Meeting), and business correspondence.

Track action items from leadership meetings and ensure timely closure.

Support strategic projects by collecting, analysing, and presenting business data.

Liaise with department heads to gather updates, reports, and project status.

Organise leadership reviews, customer visits, board meetings, and corporate events.

Maintain confidentiality of sensitive business information and executive communications.

Assist in preparing MIS reports, dashboards, and management reviews.
Coordinate with external stakeholders, customers, vendors, consultants, and government authorities when required.
Ensure smooth execution of executive priorities and follow up on critical business initiatives.

Desired Qualifications

Bachelor's degree in Business Administration, Engineering, Commerce, or related field.
MBA preferred.
5–15 years of experience as an Executive Assistant, Executive Coordinator, or similar role supporting senior leadership.
Strong proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
Excellent verbal and written communication skills.
Strong organisational, multitasking, and stakeholder management abilities.
High level of professionalism, discretion, and confidentiality.

Exposure to manufacturing, automation, engineering, or industrial organisations will be an added advantage.
