Role Overview:

We are looking for a proactive candidate to coordinate and execute end-to-end employee lifecycle processes across India, US, and other regions as needed.

This role will ensure smooth onboarding, client resource readiness, payroll coordination, HR operations, reporting, employee engagement, and offboarding activities while acting as a bridge between HR, Delivery, IT, Finance, Payroll, and client teams.

The ideal candidate should be highly organized, detail-oriented, responsive, and capable of managing multiple operational activities in a fast-paced IT services environment.

Key Responsibilities:

1. Onboarding - Internal

Own the complete pre-joining to assimilation process for all new hires.
Coordinate onboarding activities for employees across India, US, and other regions as needed.
Coordinate offer letters, joining formalities, and background verification.
Collect and validate all employee documents, ensuring compliance with local and client requirements.
Work with IT and Finance for laptop, system access, email IDs, VPN, tools, timesheet management, insurance, and other platforms.
Conduct induction sessions and departmental handovers; introduce new hires to company culture, policies, and processes.
Conduct regular touchpoints during first 3–6 months to track integration, resolve queries, and ensure engagement.
Track completion of all onboarding tasks, such as payroll data submission, insurance enrolment, and mandatory trainings.
Maintain dashboards, trackers, and reports for leadership on onboarding progress, compliance, and new hire experience.
Identify opportunities to improve onboarding experience and operational efficiency.

2.Client Onboarding & Resource Readiness

Coordinate client onboarding processes, including documentation submission, vendor portal requirements, and compliance tracking.
Ensure timely onboarding of resources at client sites, tracking system access, and project allocation to meet deadlines.
Collaborate with Delivery, IT, and Finance to resolve operational blockers for project start.
Maintain dashboards and reports for leadership to track resource deployment and client readiness.

3.Payroll Coordination & HR Operations

Coordinate payroll inputs for India and US employees, including attendance, timesheets, new joiners, exits, reimbursements, and employee data validation, ensuring accurate and timely processing in collaboration with Finance and payroll vendors.
Maintain employee master data and ensure HR data accuracy across systems and trackers. Prepare and maintain dashboards and reports including headcount, attrition, utilization, onboarding status, and workforce data.
Manage employee queries and HR mailbox, ensuring timely resolution and support.
Coordinate employee letters and documentation including experience letters, employment verification, and related requests.
Collaborate with Immigration teams for visa processes, work permits, H1B documentation, and related compliance activities.
Support insurance administration for India and US employees, including enrollments, renewals, claims coordination, and vendor communication. Identify opportunities for automation, process improvement, and operational efficiency.

4.Offboarding

Coordinate end-to- end exit process: resignation tracking, exit documentation, clearances, and exit interviews.
Collaborate with IT for access revocation and asset recovery.
Maintain offboarding trackers and reports to provide insights to leadership.

5.Employee Engagement & Experience

Coordinate employee engagement activities including birthdays, work anniversaries, celebrations, townhalls, and recognition initiatives.
Support employee communication initiatives including policy updates, announcements, and internal engagement activities.
Assist in conducting employee feedback initiatives, pulse surveys, and engagement activities. Collaborate with HR and Delivery teams to improve employee experience, transparency, and workplace culture.

6.Process Improvement & Compliance

Identify opportunities to streamline HR and operational processes through standardization and automation.
Ensure adherence to organizational policies, compliance guidelines, and legal requirements.
Support audits, documentation reviews, and process governance activities as needed.

7.Skills & Competencies:

Experience in HR operations, employee lifecycle management, and coordination in IT services.
Exposure to global workforce onboarding (India & US).
Good understanding of onboarding, payroll coordination, HR operations, and employee lifecycle processes.
Strong analytical, reporting, and dashboard management skills.
Excellent communication, coordination, and stakeholder management abilities.
Familiarity with HRMS/HRIS platforms, payroll software, and collaboration tools.
Ability to multi-task, prioritize, and work independently in a fast-paced environment.
Strong attention to detail and execution discipline.
