As the Executive Assistant, you will play a critical role in enabling the CEO to operate efficiently by managing priorities, coordinating strategic activities, and ensuring seamless communication across internal and external stakeholders. Role Overview

We are looking for a highly organized, proactive, and tech-savvy Executive Assistant to provide end-to-end executive support to the CEO. This role goes beyond calendar management and administrative coordination. It requires someone who can anticipate needs, manage multiple priorities, leverage modern productivity and AI tools, and independently drive follow-ups to completion.

The ideal candidate is detail-oriented, resourceful, comfortable working with senior leadership, and capable of handling confidential information with the highest level of professionalism.

Key Responsibilities

Manage the CEO's calendar, prioritise meetings and resolve scheduling conflicts.
Coordinate internal and external meetings across multiple time zones.
Manage domestic and international travel, including visas, accommodation, transport and itineraries.
Act as the point of coordination for leadership, board members, investors, customers, and partners.
Prepare agendas, meeting briefs, presentations, reports and relevant documents.
Hands-on agentic tools and up to date with technology.
Record key decisions and follow up on action items until closure.
Manage expenses, reimbursements, invoices, signatures and important documentation.
Maintain strict confidentiality of business, employee and personal information.
Anticipate requirements and independently act on short instructions with minimal follow-up.
Work full-time from the Bengaluru office and remain flexible for critical requirements.

Good to Have

Experience supporting CXOs, founders, or senior leadership.
Familiarity with project management and collaboration tools such as Jira, Zoho or similar platforms.
Experience coordinating international travel, visa processes, and executive events.
Knowledge of expense management and documentation processes.

Continuous improvement in executive productivity through the adoption of AI and automation tools.

Experience

4-6 years of experience as an Executive Assistant, Executive Coordinator, Administration, or a similar executive support role.

Work Location

Bengaluru (Work From Office - Full Time).
Flexibility to support critical business requirements beyond regular working hours when necessary.
