Job Summary

The US Payroll Specialist is responsible for managing end-to-end payroll processing for US-based employees, ensuring accuracy, compliance, and timeliness. This role requires a strong understanding of US payroll regulations, tax compliance, and payroll systems, along with attention to detail and confidentiality.

Key Responsibilities

Process bi-weekly/monthly US payroll for employees across multiple states
Ensure payroll is accurate, compliant, and processed within deadlines
Maintain and validate employee data including compensation, benefits, and deductions
Handle payroll-related tax filings (federal, state, and local) and ensure compliance with US regulations
Reconcile payroll reports, identify discrepancies, and resolve issues promptly
Manage garnishments, bonuses, commissions, and off-cycle payments
Coordinate with HR and Finance teams for employee lifecycle changes (onboarding, offboarding, salary revisions)
Ensure compliance with laws such as FLSA, IRS regulations, and state-specific payroll requirements
Support internal and external audits by providing payroll documentation
Respond to employee payroll queries in a timely and professional manner
Maintain payroll records and documentation in accordance with company policies

Required Qualifications

Bachelor's degree in Finance, Accounting, Human Resources, or related field
1-2 years of experience in US payroll processing
Strong knowledge of US payroll laws, tax regulations, and compliance requirements
Experience with payroll systems (e.g., ADP, Workday, Paychex, or similar platforms)
Proficiency in Microsoft Excel (pivot tables, VLOOKUP, etc.)
High attention to detail and accuracy
Strong analytical and problem-solving skills
Ability to handle sensitive and confidential information

Other Required Qualifications

Experience handling USA multi-state payroll
Familiarity with timekeeping systems and HRIS platforms
Experience in a fast-paced or high-growth environment
