Job Overview

We are looking for a versatile and detail-oriented Administrative & Accounts Executive to join our team. In this role, you will handle day-to-day administrative operations and full-spectrum basic accounting. Because we operate in the construction sector, familiarity with progress claims, project variations, and tracking material/scaffolding rentals will give you a major advantage.

Key Responsibilities

Accounts Support:

Manage accounts receivable (AR) and accounts payable (AP), including invoicing, data entry, and matching supplier delivery orders (DOs).
Prepare and process progress claims and payment certificates for ongoing construction projects.
Monitor cash flow, track outstanding customer payments, and perform regular debt collection.
Assist in monthly bank reconciliations and prepare basic financial reports.

Administrative & Operations:

Track and manage delivery orders, rental returns, and inventory records for scaffolding materials.
Maintain accurate project documentation, worker records, and subcontractor files.
Handle day-to-day office administration, including managing phone calls, sorting mail, and ordering office supplies.
Liaise with project managers and site supervisors to ensure smooth administrative workflow.

Requirements

Experience: Minimum 2 years of experience in an Admin + Accounts role. Experience in the construction or scaffolding industry is highly preferred.
Education: Diploma or LCCI higher certificate in Accountancy, Business Administration, or a related field.
Skills:
- Proficient in accounting software (e.g., QuickBooks, Xero, MYOB) and MS Office (especially Excel).
- Strong understanding of construction progress claims and retention sums.
Attributes: Highly organized, able to multitask in a fast-paced environment, and possesses strong communication skills to coordinate with project sites and clients.
