Zavya is looking for a proactive and detail-oriented Buying Merchandiser to manage vendor coordination, sampling, costing, production follow-ups, and timely execution of jewellery buying requirements.

This role is ideal for someone who understands jewellery or accessories merchandising, can coordinate strongly with vendors, follow up rigorously on production timelines, maintain clean trackers, and ensure smooth movement from design brief to sample approval to final inwarding.

Role Details

Job Title: Buying Merchandiser – Jewellery

Location: Gurugram, Haryana

Type: Full-Time | Work from Office

Travel Requirement: Open to vendor visits and market travel as required

Experience: 3–6 years in Jewellery, accessories, fashion merchandising, buying

Key Responsibilities

1. Vendor Coordination & Buying Support

Manage day-to-day coordination with existing vendors for sampling, production, costing, and dispatch timelines.
Support vendor sourcing and onboarding for new product requirements.
Coordinate with vendors for costings, MOQs, lead times, payment terms, and production feasibility.
Maintain strong follow-up discipline to ensure timely vendor responses and execution.

2. Sampling & Product Development

Coordinate sampling and product development between design, buying, and vendor teams.
Track sample status, approval timelines, corrections, and final confirmations.
Ensure samples are developed as per design brief, quality expectations, and target costing.
Maintain sampling trackers with clear status updates and next steps.

3. Production Follow-Up & Order Execution

Handle the order lifecycle from PO release to production follow-up, QC coordination, and final dispatch readiness.
Monitor production schedules and ensure timely completion of orders.
Proactively identify delays, bottlenecks, or vendor-side issues and escalate where required.
Coordinate with QC, warehouse, e-commerce, and internal teams for smooth inwarding and execution.

4. Costing & Negotiation

Assist in product costing, vendor price comparisons, and margin calculations.
Negotiate with vendors on costing, MOQ, lead time, and production terms.
Identify opportunities for cost improvement without compromising product quality.
Maintain updated costing sheets and vendor-wise commercial records.

5. Quality & Timeline Management

Ensure quality standards are maintained across samples and bulk production.
Coordinate with QC teams for inspections, corrections, and quality feedback.
Track vendor performance on timelines, quality, responsiveness, and issue resolution.
Support corrective actions for recurring quality or production issues.

6. Data, Trackers & Reporting

Maintain and update trackers for sampling, POs, production status, inwarding, costing, and vendor performance.
Use Excel / Google Sheets for reporting, follow-ups, and analysis.
Prepare regular updates for management on production status, pending approvals, delays, and vendor issues.
Ensure data accuracy and tracker hygiene at all times.

Preferred Candidate Profile

3–6 years of experience in merchandising, buying, vendor coordination, or production follow-up.
Prior experience in jewellery, silver jewellery, fashion accessories, lifestyle, or related categories preferred.
Strong vendor handling and follow-up skills.
Good understanding of sampling, costing, production timelines, and QC coordination.
Proficiency in Excel and Google Sheets, including lookup formulas, pivot tables, and structured trackers.
Strong communication and negotiation skills.
Highly organized, detail-oriented, and comfortable working with deadlines.
Willingness to travel for vendor visits, production follow-ups, and market research.
Ability to work in a fast-paced startup environment with ownership and accountability.
