We are seeking a proactive and detail-oriented Senior/Operations Executive to support the smooth day-to-day operations of our Home. Working closely with the Operations Manager, you will coordinate with internal departments and external partners to ensure a safe, efficient, and well-maintained environment for our residents and staff.

Key Responsibilities:

(a)Operations & Coordination

Work with the Operations Manager to coordinate operational matters across departments and with external stakeholders.

Support daily operational needs of residents and the organisation to ensure seamless service delivery.

(b)Building Maintenance & Facilities Management

Plan, implement, and oversee preventive maintenance programmes for all facilities, equipment, and systems.

Schedule and monitor maintenance activities to ensure optimal efficiency, safety, and asset lifespan.

Track warranties, service schedules, and condition of facilities and equipment.

(c)Vendor & Contract Management

Manage external vendors and service providers (e.g. pest control, food suppliers, contractors).

Supervise vendor works to ensure compliance with contractual requirements and health & safety regulations.

Conduct regular inspections to maintain high standards in maintenance, cleanliness, and food services.

Monitor contract expiry and renewals, source quotations, and prepare vendor evaluations.

(d)Safety, Security & Workplace Health

Assist in executing workplace safety, fire safety, and WSH plans.

Support compliance with relevant safety regulations and organisational policies.

(e)Reporting & Administrative Support

Prepare operational statistics, reports, and documentation.

Support contract management and generate monthly reports to monitor expenses, performance, and service quality.

Contribute to continuous improvement initiatives through data tracking and analysis.

(f)Technology & Continuous Improvement

Manage IT-related matters and liaise with HQ.

Identify areas for operational improvement and support innovation initiatives.

Work with the Operations Manager to resolve operational issues and enhance efficiency.

(g)Other Duties

Perform other duties as assigned.
Be prepared to support activities or events outside normal working hours when required.

Job Requirements

Diploma or Degree in Building Management, Estates Management, Engineering, or equivalent.

Minimum 2 years experience in operations or facilities management (healthcare setting preferred).

Experience in a healthcare or eldercare environment is an advantage.

Proficient in Microsoft Word, Excel, and PowerPoint.

Strong interpersonal, communication, and organisational skills.

Good command of spoken and written English.

Able to work independently and collaboratively in a team.

Meticulous, proactive, and solution-oriented.
