Company: PanIndia Marine Services Pvt. Ltd.

Department: Administration

Location: Jasai, Uran / Vikhroli

Experience: 1–3 Years

CTC: 3.0–4.2 LPA, based on experience and capability.

Job Summary:

We are looking for a proactive, organised and solution-oriented Admin Assistant who enjoys maintaining systems, following SOPs and coordinating with different teams to ensure work gets completed on time.

This is not purely a desk-based role. The position involves active coordination between office, depot, operations, M&R, stores, maintenance, security, vendors and other support teams. On-field job.

PanIndia operates in a 24×7 logistics and depot environment, and the candidate should be comfortable working in a fast-moving operational setup where priorities can change, and prompt coordination is essential.

Key Responsibilities:

Support day-to-day office and depot administration.
Maintain and follow up on SOPs, systems, checklists, records and administrative processes.
Coordinate with Operations, M&R, Stores, IT, Accounts, Security, Maintenance and other teams.
Follow up on pending tasks and ensure timely closure rather than only forwarding instructions.
Identify routine operational/admin issues and actively work towards practical solutions.
Coordinate housekeeping, security, facility maintenance and other depot requirements.
Assist with vendor coordination, quotations, AMC/service renewals and administrative purchases.
Maintain records of company assets, equipment, documentation and inventory.
Coordinate travel, accommodation, transportation and other administrative arrangements whenever required.
Assist in administrative reports, expense records and vendor payment follow-ups.
Support management in implementing new systems, processes and improvements across locations.
Be willing to visit different areas of the depot and coordinate directly with teams when required.

What We Are Looking For:

Strong follow-up and coordination ability.
Proactive attitude; someone who looks for solutions instead of waiting for repeated instructions.
Passion for maintaining systems, discipline and SOPs.
Ability to handle multiple teams and priorities simultaneously.
Good communication and interpersonal skills.
Comfortable working in an on-site operational environment.
Basic proficiency in MS Excel, Word, Outlook and digital tools.
Good documentation and record-keeping skills.
Willingness to learn and take ownership of responsibilities.

Learning & Growth:

The role provides exposure to multiple functions including depot operations, container repairs, stores, procurement, maintenance, logistics, IT systems, accounts and administration.

Since several specialised teams operate within PanIndia, the candidate will have the opportunity to gain practical cross-functional knowledge and strong operational exposure, making this a role with significant scope for learning and professional growth.

Preferred Qualification:

Graduate in Business Administration, Commerce, Management, HR, Operations or a related field, with 1–3 years of experience in administration, coordination, facilities, logistics or operational support.
