Project context
Good Earth Infra is developing a holiday-home / residential project in Dharamshala involving residential blocks, villas, retaining walls, site infrastructure, club/commercial components, roads, services, and supporting facilities.
The existing PMC's on-site staff deployment is ending. The PMC will continue only for cost management, tendering, and bill checking. The incoming Project Manager will act as the client-side project owner responsible for coordination, reporting, follow-up, escalation, and execution control.
Role purpose
To ensure that the Dharamshala project moves forward without daily dependence on promoters/directors for coordination.
The Project Manager will convert drawings, approvals, site updates, consultant inputs, contractor commitments, bills, quality checks, and WhatsApp/email discussions into a controlled execution system with clear owners, dates, risks, and decisions.
The role is not expected to replace the contractor's site team or the specialist consultants. It is expected to ensure that all of them are aligned, accountable, and moving as per the agreed plan.
Key responsibilities
1. Project planning and control
Maintain the master project schedule, 4-week lookahead, weekly plan, and daily planned-vs-actual tracker.
Track key work fronts such as retaining walls, Block B, Block A, villas, site office, roads, utilities, site infrastructure, club/commercial works, and future finishing packages.
Ensure that each weekly plan includes manpower, machinery, material, drawings required, approvals required, and constraints.
Publish a weekly head-office dashboard covering:
2. Drawing and approval management
Maintain a live drawing register with latest revision status for architectural, structural, MEP, facade, landscape, external development, services, and interior-related drawings.
Ensure that the site and contractor work only from the latest approved/GFC drawings.
Track RFIs, technical queries, drawing gaps, consultant comments, and pending approvals.
Escalate drawing or consultant delays before they affect site progress.
Convert informal WhatsApp decisions into documented email confirmations wherever required.
3. Site coordination and execution monitoring
Coordinate between head office, site team, contractor, PMC/cost consultant, architect, structural consultant, MEP consultant, local JV/promoter team, and vendors.
Visit site for critical milestones, bottlenecks, inspections, quality issues, contractor meetings, and monthly reviews.

4. Quality control and technical documentation
Ensure that quality documentation is complete before and after execution, including:
Coordinate with consultants for technical decisions such as cube-test failures, rebound hammer tests, core cutting, reinforcement changes, retaining wall details, and soil/site condition clarifications.
Ensure that no critical work proceeds without required drawing, inspection, and approval.
5. Contractor and vendor management
Track contractor commitments on manpower, machinery, material procurement, work fronts, site logistics, and productivity.
Review contractor DPRs/DLRs and validate whether progress claimed matches site reality.
Follow up on vendor quotations, comparative statements, negotiated rates, and work orders.
Ensure site issues such as borewell, water, DG, electricity, access, labour hutments, storage, and JCB availability are assigned to the right owner and closed on time.
6. Billing, cost, and contract coordination
Coordinate with the cost consultant/PMC for tendering, bill checking, RA bill certification, measurement verification, and contract documentation.
Track RA bill status from contractor submission to site verification, consultant certification, management approval, and payment release.
Maintain a contract register and ensure that payment claims are checked against work done, BOQ, approved rates, and contract clauses.
Flag cost variations, extra items, rate-analysis issues, and potential claims early.
7. Meeting rhythm and documentation
Run a structured meeting rhythm:
Prepare minutes with clear action points, owners, due dates, and closure status.
Maintain a decision log so that old decisions are not reopened repeatedly.
