Job Description

Job Summary The Facility Executive is responsible for the day-to-day management of the organization's physical infrastructure, ensuring a safe, clean, and well-maintained work environment. This role handles vendor coordination, maintenance operations, housekeeping, security oversight, and administrative support to ensure smooth facility operations.
Key Responsibilities
  • Oversee daily facility operations including housekeeping, maintenance, security, and pantry services
  • Coordinate with vendors and service providers (AMC contracts, repairs, pest control, etc.) and ensure timely service delivery
  • Monitor and maintain HVAC, electrical, plumbing, and other building systems; escalate issues for repair
  • Ensure compliance with health, safety, and fire regulations; conduct periodic safety audits
  • Manage facility budgets, track expenses, and process vendor invoices/payments.
  • Supervise housekeeping and security staff (in-house or outsourced)
  • Handle space planning, seating arrangements, and office moves/renovations
  • Maintain inventory of office supplies, furniture, and equipment
  • Manage access control systems, visitor management, and ID card issuance
  • Coordinate with local authorities/vendors for licenses, permits, and statutory compliance
  • Support event setup and logistics for internal company events/meetings
  • Maintain records of AMC contracts, warranties, and facility-related documentation
  • Respond promptly to facility-related complaints or emergencies

Requirements

Required Skills & Competencies
  • Strong vendor management and negotiation skills
  • Good understanding of building systems (electrical, HVAC, plumbing)
  • Knowledge of health & safety regulations and fire safety protocols
  • Excellent organizational and multitasking abilities
  • Strong communication and interpersonal skills
  • Proficiency in MS Office (Excel, Word); familiarity with facility management software is a plus
  • Ability to handle emergencies calmly and efficiently
Qualifications
  • Bachelor's degree in any discipline (Facility Management/Hotel Management/Engineering preferred)

  • 2–5 years of experience in facility/administration management

  • Certification in Facility Management (IFMA/BIFM) is a plus
