About Medispec

We are looking for a highly organized, proactive, and resourceful Executive Assistant to the Directors to provide strategic and administrative support to the leadership team. This role requires exceptional organizational skills, professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Manage the calendars, meetings, appointments, and travel arrangements of the Directors.
- Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
- Prepare presentations, reports, business correspondence, and management documents.
- Screen and prioritize emails, calls, and requests on behalf of the Directors.
- Ensure timely follow-up on key action items and strategic initiatives.
Business Coordination
- Liaise with department heads to monitor project progress and ensure timely execution.
- Prepare MIS reports, dashboards, and business summaries for management review.
- Coordinate leadership meetings, annual planning sessions, and company events.
- Assist in implementing operational improvements and business processes.
- Maintain confidential records, contracts, and important company documentation.
HR & Administration
- Coordinate recruitment activities, interview scheduling, and candidate communication.
- Support employee onboarding, induction, and documentation.
- Track probation reviews, confirmations, leave records, and employee documentation.
- Assist with HR policies, employee engagement initiatives, and administrative activities.
- Coordinate with external vendors and service providers as required.
Communication
- Draft professional emails, letters, and business communications.
- Coordinate with international principals, customers, and business partners.
- Maintain accurate documentation and ensure effective communication across departments.
Desired Candidate Profile
- Bachelor's degree (MBA or equivalent preferred).
- 3–8 years of experience as an Executive Assistant, Executive Coordinator, Office Manager, or similar leadership support role.
- Excellent verbal and written communication skills in English.
- Strong proficiency in Microsoft Excel, PowerPoint, Word, and Outlook.
- Exceptional organizational, planning, and multitasking skills.
- Ability to handle confidential information with the highest level of discretion.
- A proactive attitude with excellent problem-solving abilities.
