Job Description

> Role Objective:

A key objective of this role is to lead and manage the Sales Support and Sales Administration functions, ensuring operational excellence, seamless interdepartmental coordination and strict adherence to internal controls and compliance standards. This role plays a key part in driving efficiency, automation and business scalability while supporting the sales team through accurate, timely, and streamlined administrative processes. The incumbent will also maintain process documentation, track commercial agreements, and contribute to strategic operational initiatives.

> Desired Candidate Profile:

  • 8–10 years of relevant experience in Sales Operations, Sales Administration, or Business Support roles.
  • Demonstrated experience in interfacing between frontline sales teams and headquarters or corporate support teams.
  • Proficiency in SAP and enterprise business systems.
  • Experience in handling order processing, sales documentation, pricing approvals, and credit management.
  • Strong understanding of compliance, reporting, and internal controls.
  • Proven ability to lead automation and continuous process improvement initiatives.
  • Bachelor's degree in Business Administration, Operations Management, or a related discipline (MBA preferred).

> Key Responsibilities:

1. Sales Operations & Administration:

  • Coordinate end-to-end order management, including order receipt, validation, processing, and fulfillment in alignment with company policies
  • Maintain accurate records of sales contracts, purchase orders and pricing approvals
  • Serve as the key liaison between Sales, Finance, Logistics and Customer Service teams for smooth execution of sales transactions
  • Monitor receivables aging and Days Sales Outstanding (DSO); coordinate with Finance and Sales for collections follow-up
  • Ensure proper credit checks and customer account setups in SAP; manage sales documentation and approval workflows
  • Oversee the timely processing of CMAs (Cross Merchandise Agreements), MOUs, promotional schemes and ensure related compliance and audit readiness
  • Coordinate with the Finance and Sales teams to prepare and manage annual budgets and forecasted expenses
  • Drive accuracy and timeliness in submission of claims and reimbursements, particularly those submitted by global sales teams
  • Ensure adherence to inter- and intra-departmental service level agreements (SLAs)

2. Sales Reporting & Compliance:

  • Prepare and distribute performance reports, sales dashboards, and tracking sheets on a weekly/monthly/quarterly basis
  • Ensure compliance with internal policies, statutory requirements, and audit protocols, particularly for commercial agreements and promotional spend
  • Support internal and external audits by compiling required documentation and responding to audit queries
  • Maintain an up-to-date repository of contracts, pricing structures, schemes, and related authorizations

3. Process Improvement & Automation:

  • Identify, plan, and execute automation initiatives to improve administrative workflows and reduce manual interventions
  • Collaborate with IT and process owners to deploy digital tools or ERP enhancements for sales administration efficiency
  • Standardize and document sales administration processes for consistency across regions and teams

4. Team Management:

  • Set clear KPIs and drive team performance, providing regular feedback and training support

> Functional Skills Required:

  • Strong proficiency in SAP (SD module preferred) and related ERP platforms
  • Excellent understanding of sales administration processes including order-to-cash, customer master data, and invoicing
  • Strong documentation and compliance management skills
  • Financial process knowledge including budgeting, ECS, PDC, and receivables tracking
  • Competency in project coordination and cross-functional collaboration

> Team Size to be Handled:

  • Lead and mentor a team of 4–5 professionals and report directly to the Lead—Global MIS & Systems.
