Role Overview
The Sales Coordinator will support the sales team in daily operations including quote preparation, customer coordination, documentation, OEM/distributor follow-ups, CRM updates, and internal team coordination. The role ensures smooth communication between customers, sales, accounts, operations, and OEM partners.
Key Responsibilities:
Sales Support & Coordination
- Prepare sales quotes / commercial proposals for customers and on behalf of the sales team.
- Coordinate with sales team members for EOD updates, customer status, and follow-ups.
- Manage CRM Portals for leads, status updates, and customer database maintenance.
- Handle leads received through the Company Website Contact Us forms.
Customer Follow-Up & Communication
- Follow up with customers for requirements, clarifications, and payment updates.
- Attend customer calls/emails and ensure timely resolution by coordinating internally.
OEM & Distributor Coordination
- Manage OEM Portals for deal registration, updates, and pricing.
- Track deal registration statuses and escalating delays where necessary.
- Follow up with OEMs and Distributors on commercial approvals and delivery timelines.
Documentation & Reporting
- Maintain accurate documentation for quotations, proposals, deliveries, and customer accounts.
- Prepare and share weekly and monthly sales reports.
- Manage required forms, declarations, and customer-requested documents.
Internal Team Collaboration
- Coordinate with the Accounts Team for declaration documents and payment confirmations.
- Coordinate with the Operations/Logistics Team for invoicing, dispatch, and delivery details.
- Support Sales Team during customer meetings, reviews, and communication follow-ups.
Project Coordination
- Manage documentation, internal approvals, and delivery tracking for purchase orders.
- Maintain timely communication with internal teams for smooth project execution.
Skills & Competencies
- Strong communication and email drafting skills.
- Good customer coordination and follow-up ability.
- Proficiency in Advance MS Excel, Word, and CRM tools.
- Ability to multitask and manage timelines effectively.
- Positive attitude, ownership mindset, and professional conduct.
Education & Experience
- Graduate / Postgraduate (Any stream).
- 4+ years of experience in Sales Coordination / Sales Support / Back Office Sales Operations.
- Experience in System Integrator / IT Distribution / IT Solutions industry preferred.
