The Opportunity
As the first point of contact for BIA, you are the face and voice of the institute. Your role is to create a warm, professional, and efficient front-desk experience for students, visitors, faculty, and corporate guests. You'll ensure smooth daily operations while maintaining a positive and welcoming environment for everyone who walks through our doors.
Key Responsibilities
Front Desk & Visitor Management
- Welcome all visitors, students, and guests with a friendly and professional attitude.
- Ask visitors the purpose of their visit and guide them to the appropriate department or person.
- Maintain a visitor log and issue entry passes as required.
- Coordinate and facilitate smooth interactions for candidates arriving for interviews, students coming for counseling, or business partners visiting for meetings.
- Ensure a pleasant and professional experience for every guest from arrival to departure.
Communication & Coordination
- Handle incoming calls, emails, and walk-in inquiries efficiently.
- Route queries to the correct department and follow up to ensure timely responses.
- Provide accurate information about courses, schedules, and facilities when required.
- Serve as the communication bridge between departments for front-office updates or visitor coordination.
Administrative & Office Support
- Manage the reception area, ensuring it's always tidy and well-presented.
- Schedule meetings, manage room bookings, and handle mail, couriers, and deliveries.
- Support office administration with data entry, document handling, and inventory management.
- Update student and visitor information in Excel and Register.
- Assist with onboarding sessions, campus tours, and basic event coordination when required.
Professional Presence
- Maintain a polished, professional appearance at all times.
- Demonstrate excellent interpersonal skills, patience, and discretion with confidential information.
- Represent BIA's values of excellence, courtesy, and integrity in every interaction.
Who You Are
- Experience: 13 years in a receptionist, front desk, or customer service role. Prior experience in an education or corporate setup preferred.
- Communication: Clear, confident communicator with strong written and spoken English.
- Tech Skills: Proficient in MS Office; comfortable using CRM, scheduling tools, or student management systems.
- Organized: Strong multitasking and prioritization abilities with high attention to detail.
- People-Oriented: Approachable, dependable, and genuinely enjoys helping others.
