Location: Andheri, Mumbai

Job Brief:

We are seeking a highly organized and proactive Personal Assistant to support the Managing Director (MD) & Chief Executive Officer (CEO) in the Logistics/Export/Import industry. The ideal candidate should have experience in handling high-level executive support tasks, managing schedules, and facilitating communication. This role requires a high degree of professionalism, discretion, and the ability to work in a fast-paced environment.

Roles & Responsibilities:-

  • Executive Support: Provide comprehensive administrative support to the MD, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Communication Management: Handle all forms of communication, including emails, phone calls, and correspondence, ensuring timely responses and follow-ups.
  • Document Preparation: Prepare and edit documents, presentations, reports, and other materials as required by the MD.
  • Meeting Coordination: Schedule and coordinate meetings, including preparing agendas, taking minutes, and ensuring all necessary materials are available.
  • Travel Arrangements: Organize and manage domestic and international travel plans, including flights, accommodations, and itineraries.
  • Confidentiality: Maintain the highest level of confidentiality in handling sensitive information and documents.
  • Liaison: Act as a point of contact between the MD and internal/external stakeholders, ensuring clear and effective communication.
  • Office Management: Assist with office management tasks, such as maintaining office supplies, managing files, and ensuring the smooth running of the executive office.
  • Project Assistance: Support the MD in various projects, including research, data collection, and project management tasks.
  • Time Management: Prioritize and manage multiple tasks and deadlines, ensuring that the MD & CEO's time is utilized efficiently

Skills Set:

  • Organizational skills and the ability to multitask
  • The ability to be proactive and take the initiative
  • Monitoring a reporting manager's email and responding if required Produce reports, presentations and briefs. Should Be Confident, Presentable and Quick in work.
  • Devise and maintain office filing system , Organizing travel and itineraries
  • Good oral and written communication skills.
