JD-Personal Assistant to the Managing Trustee

Job Location: -Mohan Nagar Ghaziabad, Uttar Pradesh (Office & Field)

Job Type- Full Time

Job Summary:

We are looking for a highly organised, proactive, and trustworthy Personal Assistant to provide administrative and operational support to the Managing Trustee. The ideal candidate should possess excellent communication skills in both English and Hindi (reading, writing, and speaking) and be comfortable accompanying the Managing Trustee for official meetings, site visits, workshops, events, and other field activities.

Key Responsibilities:

  • Provide day-to-day administrative and personal assistance to the Managing Trustee.
  • Manage calendars, appointments, meetings, and travel schedules.
  • Draft, proofread, and manage professional correspondence, emails, letters, and reports in English and Hindi.
  • Prepare meeting agendas, minutes of meetings (MoM), presentations, and official documents.
  • Coordinate with internal teams, government departments, NGOs, CSR partners, and external stakeholders.
  • Accompany the Managing Trustee to site visits, plantation drives, workshops, seminars, conferences, and official events.
  • Maintain records, confidential documents, and official files.
  • Follow up on pending tasks and ensure timely completion of assignments.
  • Assist in planning, organising, and executing meetings and events.
  • Handle phone calls, visitor coordination, and official communications professionally.
  • Perform any other administrative or operational responsibilities assigned by the Managing Trustee.

Required Skills & Qualifications:

  • Bachelor's & Master's degree in any discipline.
  • Excellent command of English and Hindi (reading, writing, and speaking).
  • Strong drafting and documentation skills.
  • Excellent communication and interpersonal abilities.
  • Strong organisational and time-management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in MS Office (Word, Excel, PowerPoint), Google Workspace, and email communication.
  • Willingness to travel and work in the field whenever required.
  • Ability to work independently and under tight deadlines.

Experience:

  • 2–5 years of experience as a Personal Assistant, or in a similar administrative role.
  • Experience working with NGOs, trusts, senior management, or leadership teams will be an added advantage.

Salary:

25000 to 30,000 per month
