Job Title- PMO Operations - Onboarding Specialist
About the Role
Working within the Client PMO Team, you will support our client account by managing the full lifecycle of resource onboarding and offboarding, ensuring 100% profile compliance and seamless experience for all stakeholders.
Responsibilities
Own the first-day experience of our employees via navigating Client's complex provisioning ecosystem to ensure every employee is Day One Ready, compliant, and equipped to succeed.
Act as the primary point of contact for new hires, guiding them through the Client onboarding system with step-by-step instructions and proactive follow-ups.
Collaborate with recruiters, program managers, and new hires to facilitate a smooth and professional transition into new roles.
Execute worker profile creation and maintenance within Client's provisioning systems, resolving technical issues alongside internal support teams.
Manage logistical requirements including seat assignments, building access, and the distribution/collection of IT equipment.
Maintain accurate internal trackers for equipment, seating, and compliance data.
Ensure team profiles adhere strictly to Client's policies, taking corrective action to maintain compliance as necessary. Serve as the Subject Matter Expert (SME) for all onboarding processes and worker profile management.
Partner with internal and external managers to address individualized access and project-specific needs.
Identify and implement process improvements to enhance the efficiency and clarity of team operations. Coordinate resource offboarding by terminating system access and ensuring all final requirements are satisfied.
Duties specific to certain niche projects:
Act as the primary financial and operational liaison for the client, overseeing budget management, expense tracking, and invoice auditing to ensure financial accuracy.
Manage end-to-end resource lifecycle operations, including tracking starts, exits, and backfills, and handling complex administrative processes like timesheet verification and approval.
Maintain and optimize data systems, including financial dashboards, associate databases, and forecasting tools, to support informed decision-making and operational transparency.
Provide administrative and strategic support to SDMs Lead process improvement initiatives and manage special projects to streamline operations, data reporting, and resource management. Qualifications
3-5 years in HR operations, procurement, contingent workforce onboarding management. Superior written and oral communication skills with a focus on clear, kind engagement. High attention to detail and a commitment to data accuracy.
Proven ability to multitask and effectively prioritize urgent tasks in a fast-paced environment. Proficiency in Client Workspace, specifically Gmail and Client Sheets.
Strong troubleshooting skills for resolving basic technical and profile issues. Self-motivated professional capable of working both independently and collaboratively with peers and management.
Must have VMS experience (SAP Fieldglass, SmartTrack, Beeline, etc.) MSP experience is highly desired Ticketing system experience is highly desired
Qualifications specific to certain niche projects:
Proven experience managing complex financial, operational, and data-driven administrative processes. Demonstrated ability to provide strategic support, and process optimization within professional teams. Experience leading process improvement initiatives and managing special projects in a dynamic operational environment.
