Job Description

Role Overview

  • The Manager CEO Office, Coordination & Analytics will support the CEO in managing strategic priorities, driving cross-functional coordination, and ensuring effective execution of key initiatives. This role involves calendar and meeting management, communication handling, action tracking, and preparation of reports and presentations.
  • Acting as a key liaison between the CEO, internal teams, and external stakeholders, the incumbent must be highly organized, detail-oriented, and capable of handling confidential information with professionalism and discretion.

Key Responsibilities

  • Manage and optimize the CEO s calendar, scheduling appointments, meetings, and travel plans. 2. Anticipate conflicts and adjust schedules proactively. 3. Organize and prepare all necessary materials for meetings and events.
  • Schedule, coordinate, and oversee internal and external meetings, including donor discussions, board sessions, and leadership meetings.
  • Prepare and distribute agendas, meeting briefs, and required documentation. Record and circulate accurate Minutes of Meetings (MoMs), ensuring timely follow-ups on action
  • Maintain and update Action Tracker Reports (ATR) to ensure timely completion of assigned tasks. Work closely with different teams to collect progress updates and report to the CEO.
  • Draft and proofread official correspondence, reports, and presentations. Ensure clarity, professionalism, and alignment with organizational goals. Handle confidential information with discretion.
  • Custodian: HR Department Approved by: CEO Signature
  • Create high-impact presentations for internal and external stakeholders, including donors, board members, and government bodies.
  • Analyze and present data in an organized, professional manner.
  • Serve as the key point of contact between the CEO and various departments. Ensure seamless communication and coordination across teams. Assist in consolidating reports, updates, and key insights for strategic decision-making.

Other Extended Duties

  • Perform additional tasks as assigned by the CEO.
  • Required Qualifications and Skills:
  • Bachelor s or Master s degree in Business Administration, Communications, or a related field. 3+ years of experience as an Executive Assistant, preferably supporting C-suite executives.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

Preferred Skills:

  • Prior experience in a non-profit or healthcare organization is an advantage.

  • Strong interpersonal skills to work effectively in a multi-stakeholder environment.

Soft Skills:

  • Outstanding verbal and written communication skills, with exceptional spoken English proficiency.
  • Ability to work under pressure and meet tight deadlines.
