Job Description

We are seeking a seasoned and dynamic Manager of Administration to oversee the administrative functions across our offices in India. The ideal candidate will have a proven track record of successfully managing multiple office spaces, developing and managing budgets, and fostering strong vendor relationships. The candidate should be adept at team management, possess strong communication skills, and have a deep understanding of administrative operations.

The Charter for this role would include

  • Oversee the establishment and management of our office spaces across India. Coordinate the scouting, selection, and setup of new office locations.
  • Manage a team of 1-2 administrative professionals, providing guidance and support. And Foster a collaborative and efficient work environment within the administrative team.
  • Develop and manage the administrative budget, ensuring fiscal responsibility Identifying cost-saving opportunities, and implementing strategies to optimize expenditure.
  • Establish and maintain strong relationships with vendors. Handle vendor invoicing, and negotiate contracts and agreements for optimal terms.
  • Ensure timely payments and adherence to service level agreements.
  • Maintain accurate and up-to-date data related to administrative functions.Generate and analyze reports, including an expense dashboard, to track performance and identify areas for improvement.
  • Oversee the day-to-day facility operations, ensuring a safe and conducive working environment.
  • Collaborate with relevant stakeholders to address facility-related issues promptly.
  • Develop and maintain a network within the legal community for relevant support and resources. Establish and maintain a positive connection with local law enforcement agencies.

Ideal Persona

  • 7-12 years of experience in administration, with a focus on office space management, and vendor management.
  • Proven experience managing a team of 1-2 people.
  • Strong budget management skills and experience identifying cost-saving opportunities.
  • Excellent vendor management skills, including negotiation and contract management.
  • Proficient in data maintenance and reporting, with experience in generating and analyzing reports.
  • Bilingual with proficiency in English and at least one South Indian language.
  • Familiarity with facility management and network within the legal community.
